Job Overview
We are seeking a dynamic and organized Office Manager / Bookkeeper to join our team This vital role combines administrative excellence with financial oversight in a Construction setting, ensuring our office runs smoothly while maintaining accurate financial records. Duties
- Oversee daily office operations, including front desk duties, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
- Manage vendor relationships by coordinating AR/AP, imputing contracts, and ensuring compliance.
- Handle bookkeeping responsibilities using QuickBooks, AIA, or similar accounting software to process invoices, track expenses, and maintain accurate financial records.
- Support payroll processing and human resources functions such as employee onboarding, training & development, and maintaining personnel files.
- Assist with event planning and coordination for meetings, staff events, or community outreach initiatives.
- Supervise administrative staff or team members when applicable, providing guidance and support to promote efficiency.
- Maintain organized filing systems—both digital and physical—and ensure compliance with record-keeping standards.
- Manage budgeting activities by monitoring expenses and preparing reports to support financial planning.
Requirements
- Proven experience in office management or administrative roles within a professional environment.
- Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software.
- Demonstrated supervisory experience with the ability to lead and motivate team members effectively.
- Excellent communication skills—both verbal and written—and professional phone etiquette.
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Experience with calendar management, scheduling appointments, and coordinating events or meetings.
- Knowledge of human resources processes including onboarding, payroll, and employee relations is highly desirable.
- Familiarity with vendor management practices and budget oversight.
- Ability to handle clerical tasks such as filing, data entry, and managing multi-line phone systems confidently.
