Job Summary:

The Administrative Assistant will provide advanced administrative support to the Global Security leadership team. This role manages complex calendars, coordinates travel, and handles sensitive and confidential information with discretion. The position requires strong technical proficiency, excellent communication skills, and the ability to multitask in a fast-paced team environment.

Key Responsibilities:

  • Provide advanced administrative support to the leadership team, including calendar management, scheduling, and meeting coordination
  • Monitor, organize, and prioritize email inboxes, including drafting responses and highlighting required actions
  • Maintain departmental files in compliance with corporate and legal guidelines
  • Follow established purchasing and administrative procedures
  • Use software tools including Office Suite, SAP, Concur, and corporate travel systems to complete daily tasks
  • Interact professionally with senior-level management and internal stakeholders
  • Handle confidential and business-sensitive information with discretion
  • Arrange domestic and international travel, including itineraries and logistics
  • Coordinate catering and food service for meetings and events
  • Identify and resolve scheduling conflicts proactively
  • Perform additional administrative duties as required

Required Qualifications:

  • Associate Degree in Office Administration or equivalent
  • Technical proficiency with Office Suite, SAP, Concur, and other business systems
  • Strong multitasking ability and responsiveness
  • Excellent communication skills across all levels of the organization
  • Exceptional attention to detail
  • Ability to manage confidential information with discretion

Preferred Qualifications:

  • Experience supporting senior leadership or executive-level teams
  • Prior experience in a corporate or security-related administrative environment
