Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professionalism.
- Operate multi-line phone systems to ensure effective communication within the office.
- Provide customer support through various channels, maintaining high standards of phone etiquette.
- Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
- Assist with filing, organizing documents, and maintaining an orderly office environment.
- Utilize Microsoft Office and Google Workspace for document creation, scheduling, and correspondence.
- Support calendar management for team members, coordinating appointments and meetings.
- Conduct bookkeeping tasks as needed, including invoicing and tracking expenses.
- Proofread documents for accuracy and clarity before distribution.
- Collaborate with other departments to streamline office management processes.
- Assisting in Marketing and Advertising by creating posts, flyers, videos, reels, and content
Requirements
- Previous administrative experience is required
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong typing skills with attention to detail for data entry tasks.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Bilingual (Spanish) candidates are encouraged to apply; proficiency in another language is a valuable asset.
- Familiarity with multi-line phone systems and front desk operations is preferred.
- Strong customer service orientation with the ability to handle inquiries professionally.
- Effective time management skills to prioritize tasks efficiently.
- Experience in clerical duties such as filing, proofreading, and administrative support is essential.
- Knowledge of bookkeeping principles is advantageous but not mandatory.
