Position Title: Payroll Specialist
Reports to (Position Title): Controller
Location: Atlanta, GA
Position Summary
The Payroll Specialist is responsible for the accurate and timely processing of payroll for CSM America's e workforce, ensuring compliance with federal, state, and local labor laws, union requirements, and company policies. This role plays a key part in maintaining data integrity within the HRIS and payroll systems, managing payroll reconciliations, resolving discrepancies, and supporting employees and managers with payroll-related inquiries. The Payroll Specialist works closely with HR and Finance to ensure payroll accuracy, compliance, and confidentiality across all job sites and contracts.
Duties & Responsibilities
- Process weekly payroll for all hourly and salaried employees across multiple job sites using ADP Workforce Now.
- Review and verify timecards, schedules, and job cost allocations for accuracy prior to payroll submission.
- Ensure accurate calculation of wages, overtime, shift differentials, bonuses, and other special pay.
- Review payroll reports for discrepancies; identify and resolve errors before final approval.
- Process and maintain employee deductions, garnishments, union dues, benefits, and tax withholdings.
- Reconcile payroll prior to transmission and validate all changes to employee records.
- Maintain accurate payroll records and support the Controller with payroll journal entries and monthly reconciliations.
- Assist in quarterly and year-end payroll processes, including W-2 and 1099 reporting.
- Ensure compliance with all federal, state, and local payroll, wage, and hour laws.
- Partner with HR on new hire setup, terminations, and pay changes to ensure data integrity between HRIS and payroll systems.
- Respond to employee inquiries related to pay, time, and deductions in a timely and professional manner.
- Coordinate with Finance and HR on audits, benefit reconciliations, and payroll funding.
- Maintain confidentiality of all employee and company payroll data.
- Perform additional duties as assigned by management.
Qualifications
Education:
- Associate or Bachelor's degree in Accounting, Business Administration, or related field preferred.
- Equivalent combination of education and payroll experience will be considered.
Experience:
- 3–5 years of hands-on payroll experience in a multi-state environment.
- Experience with ADP Workforce Now required.
- Familiarity with union payroll processing and airport or facilities contracts preferred.
- Strong understanding of FLSA, wage and hour laws, and payroll tax regulations.
Skills:
- High attention to detail and accuracy in numerical data entry.
- Excellent organizational, time management, and problem-solving skills.
- Ability to work under tight deadlines and handle sensitive information with professionalism.
- Strong interpersonal and communication skills for employee and management interaction.
- Proficient in Microsoft Excel and payroll reporting tools.
- Demonstrated ability to maintain confidentiality and data integrity.
Physical Demands/Work Environment
- Work is primarily performed in an office environment.
- Prolonged periods of sitting and computer use.
- Occasional walking, standing, and lifting up to 20 pounds.
- May occasionally interact with field management teams at job sites.
