Job Summary
This position works closely with the Director of Resource Development and Marketing, Donor Relations Manager, Communications and Marketing Manager, and Special Events Manager to provide support for fundraising activities, donor relations, and special events to accomplish departmental administrative tasks. The right candidate will be an extremely organized individual with the highest level of attention to detail and professionalism. Close, daily communication with team members is necessary, especially when support for special projects is needed. Attendance will be required at development events that sometimes take place outside the office and outside of regular work hours.
To perform this job successfully, an individual must have excellent computer and organizational skills. This position requires a team-oriented person who understands the dynamic of working with a management team to achieve Open Hand's fundraising goals

Duties/ Responsibilities
Donor Relations:
- Assist with donation thank you calls as listed in the daily gift report email.
- Oversee the coordination of annual stewardship treat delivery to donors in collaboration with the Database Administrator and Donor Relations Manager.
- Oversee monthly handwritten thank you note process by assigning notes to relevant Development staff and composing notes on behalf of Open Hand.
- Provide support with donor segmentation lists and targeted mailings
- Maintain accurate records of all related interactions with donors in GivEffect database.
- Serve as first contact for inbound department phone calls.
- Manage birthday, honor, and memory card processes for donors.
- Assist in preparing materials for donor meetings or functions.
- Assist with the coordination of schedules for meetings or managing RSVPs.
Communications:
- Assist with the management of the Appeals Calendar
- Assist with the management and execute OH SM Calendar
- Manage and Execute OH Newsletter
- Assist as needed with video production, storytelling and creation of collateral and other branding materials
- Maintain an effective and organized inventory of physical and digital materials related to all department activities and department collateral materials, and re-ordering as needed.
Special Events:
- Assist Special Events Manager and Communications Manager with keeping event forms and websites current.
- Assist with communication to vendors, donors, event guests, and internal staff as needed.
- Assist Special Events Manager with event guest management as it relates to the specific event.
- Utilize a task management tool to organize responsibilities and track progress for event related tasks and send proactive updates on project/ event progress
- Assist with identifying and soliciting auction items for all major fundraising events and serve as the in-kind donation coordinator providing updates and timely follow ups with host committee members and contributing stakeholders
- Keep a detailed and organized catalogue of recruited auction items (physically and digitally).
- Identify and solicit prospects for community benefits and serve as the primary contact for initial event inquiries, track and coordinate follow-ups.
- Capture and record accurate constituent information in GivEffect, including donor records, notes, and event attendee information
- Provide support in scheduling and preparing notes for event meetings and debriefs, both internally and with event co-chairs.
- Prepare and send post event stewardship gifts/ and or thank you notes
- Prepare and send post event surveys to enhance guest experience and gain insight for continued event improvement
Other Development Support:
- Aid team with donor record research and maintenance in the GivEffect and DonorSearch database.
- Assist in preparing meeting agendas as needed and take comprehensive notes at weekly team meetings and Development Retreats.
- Assist with all Open Hand fundraising events which sometimes fall outside of regular office hours.
- Other duties as requested or assigned by the Director of Development and/or Development team
Required Skills/Abilities
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.
- Ability to work evening and weekend hours as needed.
- Attention to detail and the ability to organize information will be critical.
- Exceptional interpersonal skills and ability to work well in a team environment.
- Must be able to work in a fast-paced environment and be able to start and resume work on projects as priorities change.
- Exceptional verbal and formal writing skills with the ability to convey professionalism, gratitude, and organizational voice in written communications.
- Familiarity with non-profit mission messaging and fundraising and/or customer service and sales are preferred.
- Integrity, honesty, ethics, creativity, and proactive thinking are needed.
- Must be a self-starter who can independently assess and determine priorities
- Ability to present self professionally and maintain professionalism and discretion with donor information.
Education/Experience
Undergraduate degree or equivalent work experience highly preferred.
Physical Requirements
- The Resource Development and Communications Assistant is expected to work on-site at Open Hand's campus four days a week, as coordinated with their supervisors, with the option to work one day remotely contingent upon performance and as approved by supervisors.
- The employee is regularly required to sit at a computer, answer the telephone, file, and perform other office duties.
- The employee is frequently required to walk, stand, drive a car, and lift and/or move 25 pounds.
- The employee must be able to talk, hear, and see.
