A Day in the Life and the Impact You'll Make:
The Project Administrator plays a significant role in the implementation and management of assigned client projects. In addition to assisting in the delivery of the scope of services, the Project Administrator will be responsible to provide key information that supports and informs the project team. Responsibilities also include participation in the project initiation meetings, review meetings and closeout meeting for each assigned client project. The position is expected to support other members of the Client Services team in performing activities in support of all client projects. Responsibilities of the position grow as the person becomes familiar with our services.
Prefer candidates to be located in Ventura County (California), Central time zone, or Eastern time zone.
What You'll Do:
- Plan, manage and coordinate delivery of the Client Services' portion of projects utilizing department technology. Initiate appropriate administrative activity to support successful service delivery.
- Collaborate and build relationships with internal and external stakeholders like client contacts, PMs, delivery consultants, to assist in providing client excellence.
- Work directly with the Project Manager (PM) in reviewing and understanding the delivery of the scope of services. Review projects monthly with PMs to assist with the managing of hours against the baseline.
Deliver the multi-step process of survey administration utilizing proprietary software in conjunction with other technology platform.
Collaborate with Assessments Specialist for all custom survey work and create confidential reports containing survey results compared to selected norms.
Facilitate scoring of responses and quality review of standard graphs for non-custom surveys that contain site specific and/or individual information compared against appropriate standard norms.
Prepare invoices using DEKRA's accounting software that accurately reflect client's billing requirements and deliverable details.
Develop timelines for material ordering and custom deliverables, when necessary.
Work proactively to ensure that delivery of excellence for both consultants and clients
Actively participate at internal project team meetings, including taking meeting notes and document project action items.
- Coordinate coaching calls and visits between company consultants and client customers.
- Work with other members of Client Services to meet project deadlines and prepare project deliverables on projects which are not regularly assigned.

What You'll Bring:
- Education: Bachelor's degree in a business-related field
- Experience: Minimum five years' experience in a corporate setting with an emphasis on project support
- System and/or technical requirements: Microsoft Office; including Word, Excel, Outlook and PowerPoint
- Ability to work effectively with remote stakeholders and customers via phone and multi-media platforms (e.g. Microsoft Teams)
- Experience in delivering high quality customer service and willingness to demonstrate a strong client service orientation in all activities and interactions internally and externally
- Ability to work unsupervised, manage extreme detail and produce error-free work under pressure
- Ability to handle multiple tasks with short deadlines and prioritize effectively
- Ability to exercise judgment, identify problems, research potential solutions, and identify situations requiring the expertise of others
- High degree of professionalism and skill in verbal and written communications
- Ability to work both independently and collaboratively as a team player
Physical Considerations:
- Ability to work in a general office environment
- Ability to handle extended periods of computer-based work, including telephone
- Ability to lift 25-40 lbs.
Travel Considerations:
- Domestic travel required, estimated up to 10%

Compensation:
The hourly range is $26.45 per hour - $28.85 per hour. Actual salary is dependent on a wide range of factors, including experience, skills, qualifications, and location.
