DUTIES AND RESPONSIBILITIES:
The principal duties and responsibilities of the Proposal Specialist consists of, but are not limited to, the following:
  • Manage the full proposal lifecycle using Loopio (proposal automation program), from intake to final submission.
  • Align proposal strategies with SEnergy's business goals in collaboration with marketing, engineering, and leadership teams.
  • Research and draft project write-ups for RFQs/RFPs, ensuring technical accuracy through SME collaboration.
  • Maintain and optimize Loopio (proposal automation program) export themes for consistent branding.
  • Identify content gaps and develop new entries; oversee content strategy within Loopio (proposal automation program).
  • Maintain up-to-date personnel profiles and project experience files.
  • Organize and retain all qualification and contract documents (NDAs, COIs, etc.).
  • Track proposal statues, schedule kickoff meetings, and ensure timely submissions.
  • Facilitate internal reviews and approvals; incorporate feedback for quality improvement.
  • Analyze market trends and proposal outcomes to refine strategies.
  • Train internal teams on Loopio (proposal automation program) usage and proposal standards.
  • Implement automation tools to streamline workflows.
  • Ensure proposal-related websites are current and compliant.
  • Document all proposals and outcomes in CRM.
  • Notify Marketing Manager of at-risk deadlines and provide mitigation plans.
  • Conduct research on solicitations and collaborate with the BD team to ensure timely follow-up and completion of required action
  • Complete accurate timesheets daily.
  • Other duties as assigned.

      • REQUIREMENTS:
      EDUCATION:
      Preferred: Bachelor's or Associates Degree in Business or Communications or related
      Required: High School Diploma or equivalent with 3 years experience in proposal management, preferably in energy or engineering sectors. Must possess strong detail-oriented skills.
      Must be able to read, write and speak English. 
      SKILLS: Strong (effective) written and verbal communication skills, project management skills, exceptional computer skills and word processing applications. Organizational and multi-tasking skills. Proficiency in Loopio (Proposal Automation Platform) or similar platforms, Microsoft Office Suite, and CRM tools. Familiarity with RFR/RFQ processes and compliance requirements.
      Preferred: Experience with branding and formatting in proposal automation programs and knowledge of electric utility consulting and/or engineering services.  
      PHYSICAL: This position requires the ability to listen and hear, good eyesight, sitting, standing, walking, bending, squatting, stooping, kneeling, reaching and use of hands and arms.
