Overview
We are seeking a highly organized and proactive Executive Assistant to support the CEO and COO of our organization. This vital role requires a professional with exceptional administrative skills, the ability to manage multiple priorities efficiently, and experience in office management and executive support. The ideal candidate will be instrumental in streamlining daily operations, coordinating projects, and ensuring seamless communication across departments. Responsibilities

  • Provide comprehensive administrative support to the CEO and COO, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Handle complex correspondence, including drafting, proofreading, and transcription of documents and emails.
  • Organize and coordinate company events, meetings, and conferences with attention to detail and professionalism.
  • Manage office operations, including filing, data entry, front desk duties, and maintaining office supplies inventory.
  • Utilize Microsoft Office Suite, Google Workspace, and other software tools such as DocuSign for document management and electronic signatures.
  • Oversee bookkeeping tasks using QuickBooks and perform basic bookkeeping functions as needed.
  • Assist with project coordination across various departments to ensure timely completion of initiatives.
  • Maintain confidentiality of sensitive information while demonstrating excellent phone etiquette and customer service skills.
  • Support personal assistant duties as required, including personal scheduling and errands coordination.
  • Manage multi-line phone systems and ensure effective communication flow within the organization.

Qualifications

  • MUST possess hands-on experience with ERP platforms (SAGE, ACUMATICA, ETC) and be able to apply this knowledge in daily operations.
  • Proven experience in executive administrative support or office management roles.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed, proofreading, transcription skills, and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), Microsoft Outlook Calendar, and familiarity with DocuSign.
  • Experience with QuickBooks for bookkeeping and data entry tasks.
  • Exceptional communication skills with professional phone etiquette.
  • Demonstrated ability to coordinate projects and manage multiple deadlines simultaneously.
  • Previous experience in event planning, clerical work, or front desk responsibilities is preferred.
  • High level of computer literacy combined with strong organizational skills; familiarity with multi-line phone systems is a plus.
  • A proactive attitude with excellent problem-solving abilities and a commitment to confidentiality. This role is ideal for a dedicated professional looking to grow within an executive support capacity while contributing significantly to organizational success through efficient office management and project coordination.

Pay: $60, $70,000.00 per year
