Position Purpose:

Provides administrative and accounting support to the Controller of Construction and the construction accounting team. This role assists with daily accounting operations, job cost tracking, invoice processing, and financial documentation to support accurate and timely reporting for construction projects. The position requires strong attention to detail, organization, and the ability to work in a fast-paced, deadline-driven environment.

Essential Job Functions

Accounting & Financial Support

  • Assist the Controller of Construction with routine accounting and administrative tasks.
  • Support job cost accounting by entering, reviewing, and reconciling project-related costs.
  • Process vendor invoices, ensure proper coding, and assist with approvals.
  • Assist with accounts payable functions related to construction projects.
  • Maintain accurate financial records and documentation for construction jobs.

Reporting & Reconciliation

  • Assist in preparing monthly reports, schedules, and reconciliations related to construction projects.
  • Support month-end close activities, including data entry and documentation preparation.
  • Help track budgets, commitments, and cost variances.

Documentation & Compliance

  • Organize and maintain construction contracts, change orders, lien waivers, and supporting documentation.
  • Assist with audit requests by gathering and organizing required documentation.
  • Ensure compliance with internal controls, company policies, and accounting procedures.

Coordination & Communication

  • Communicate with project managers, vendors, and internal teams regarding invoices, documentation, and cost issues.
  • Respond to routine accounting inquiries in a professional and timely manner.
  • Support cross-functional collaboration between construction, accounting, and operations teams.

General Administrative Support

  • Assist with filing, data management, and maintenance of accounting systems.
  • Support process improvements to enhance efficiency and accuracy within construction accounting.
  • Perform other duties as assigned by the Controller of Construction.
Education & Experience
  • Associate's degree in Accounting, Finance, or a related field required; Bachelor's degree preferred.
  • 1–3 years of experience in accounting or bookkeeping; construction accounting experience preferred.
  • Familiarity with job cost accounting and construction workflows is a plus.
Knowledge, Skills & Abilities
  • Strong attention to detail and high level of accuracy.
  • Basic understanding of accounting principles and financial processes.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Experience with accounting or ERP systems preferred.
  • Strong organizational and time-management skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Effective written and verbal communication skills.

  • External and internal customer satisfaction.
  • Demonstrated flexibility in working with KIRCO Associates and KIRCO clients.
  • Demonstrated initiative and ability to be proactive in accomplishing goals.
