Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team for afternoon and overnight shifts. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer service, and supporting office functions in a fast-paced environment. This role requires excellent communication skills, strong organizational abilities, and proficiency with various office management tools. Bilingual skills are a plus to assist a diverse client base. The position offers an opportunity to work in a dynamic setting where attention to detail and multitasking are essential.

Duties

  • Greet visitors and clients promptly and professionally, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls efficiently and courteously
  • Handle data entry, filing, and document proofreading with accuracy
  • Utilize Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
  • Schedule appointments and manage calendar logistics for staff or clients
  • Support office management activities including bookkeeping, record keeping, and supply inventory
  • Provide excellent customer support via phone, email, or in person
  • Maintain a clean and organized reception area
  • Assist with clerical duties such as typing correspondence and managing office communications
  • Ensure proper phone etiquette is followed at all times

Qualifications

  • Prior office experience or administrative support background preferred
  • Proficiency with Microsoft Office Suite, Google Workspace, and data entry tools
  • Experience with multi-line phone systems and front desk operations
  • Strong organizational skills with the ability to multitask effectively
  • Excellent communication skills; bilingual abilities are a plus
  • Familiarity with QuickBooks or bookkeeping is advantageous
  • Office management or clerical experience highly desirable
  • Ability to work independently during afternoon and overnight shifts
  • Strong attention to detail with proofreading and data accuracy skills
  • Exceptional customer service skills with professional phone etiquette
  • Time management skills to handle multiple priorities efficiently
