Title:

Reception, Communications and Event Planning Coordinator

Purpose:

The Communications Coordinator will develop and implement an inspiring communications program for First Presbyterian Church, focusing on innovative techniques to effectively share its mission and ministry. Key responsibilities include producing communication materials, maintaining the website, writing and editing content, creating the monthly newsletter, responding to inquiries, and serving as the event coordinator for the church. This role requires a personable and respectful team player who can collaborate effectively with diverse stakeholders such as staff, committee chairs, session members, and the wider community.

Relationships: Accountable to the Senior Pastor as head of staff in the performance of their responsibilities, with the support of Personnel and the Session. The Communications Coordinator will work in partnership with the Communications Committee.

Minimum Cash Salary: $32,000 per year, adjusted based on experience and qualifications.

Work hours: 25 hours per week, typically three 8-hours days.

Reception & Administrative Duties

  • Warmly greet and assist visitors, members, vendors, and volunteers.
  • Answer phones, take messages, and direct inquiries to the appropriate staff.
  • Respond to general email inquiries and messages received through church platforms.
  • Maintain a clean, welcoming, and organized reception area.
  • Assist with printing, copying, filing, and basic office tasks.
  • Provide support for church events, meetings, and ministries as needed.
  • Update weekly bulletins, announcements, and calendars

Communications Responsibilities:

  • Manage and maintain the church and preschool's website and social media accounts
  • Manage and promote announcements and church events through calendar, website platforms and social media
  • Create and design compelling logos, signage, posters/fliers, digital and print publications and emails as needed
  • Create and organize monthly newsletter and weekly email blasts that features the stories of the church and upcoming events
  • Design, print, label and organize bulk mail to be sent to the entire congregation
  • Recruit, train, and manage volunteers to work on church communications
  • Produce weekly Sunday worship bulletins according to the direction of the Communications and Worship & Music committees.
  • Manage branding for church materials
  • Assist preschool in communications to families
  • Manage Realm
  • Manage hardware and technology across the church including sanctuary AV, including coordinating the Live Stream Team
  • Attend the Communications Committee meetings

Event Coordinator Responsibilities:

  • Keep and maintain the church calendar for all events (internal and on website)
  • Book rooms for church events, outside groups, weddings, etc.
  • Manages and schedules the sexton as needed for events
  • Sources and coordinates volunteers for events if needed
  • Be the point-of-contact for outside groups events
  • Maintains process for booking all events for the church by the ministry staff, members and outside groups
  • Responsible for leaving all areas used by groups clean and in good order
  • Coordinates kitchen activity to include groceries, cooks, dishwashers, etc.
  • Responsible for decorations and event inventory (table clothes, dinnerware, serving items, etc)
  • On call for outside groups during events
  • Helps with A/V needs
  • Coordinate weddings if needed
  • Communicates with committee chairs as needed.

Expectations:

  • Excellent communication skills.
  • Willingness to learn systems and software used in maintaining the church website and membership database, generating social media posts, and creating written communications.
  • Good time management.
  • Flexibility.
  • Commitment to maintaining confidentiality of information relating to members of the congregation and staff.

Qualifications:

  • Associates Degree or equivalent.
  • Have an understanding and appreciation for First's mission and ministry.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Excellent verbal and written communication skills.
  • Ability to build relationships and work effectively with individuals and teams.
  • Ability to identify and resolve operational issues.
  • A strong personal faith and a commitment to serving God and the Trinity.
  • Experience with social media outlets, Canva, Realm, Google Suite, Constant Contact and Microsoft Office.

Job Type: Part-time

Pay: $32,000.00 per year

Expected hours: 25 per week
