Position Overview
The Contract & Closing Coordinator will own the end‑to‑end deal pipeline—from contract creation through close and a flawless move‑in. This position will play a key role in setting up, operating and managing all communities within an assigned portfolio cluster. This is a numbers‑heavy, detail‑critical role that sits at the intersection of sales support, contract administration, and property management. You'll partner daily with sales teams, community managers, financial operations, and accounting to keep a large volume of transactions moving accurately and on time.
Key Responsibilities
· Own the pipeline: Track, prioritize, and advance a high volume of home sales from offer to funding to move‑in; flag risks and remove blockers to hit close dates.
· Build & finalize contract packages: Prepare, QA, and route agreements and addenda for e‑signature; confirm all initials, signatures, disclosures, and supporting docs are accurate and complete.
· Closing coordination: Schedule and confirm closing milestones; coordinate with buyers, sales reps, lenders/finance partners, and community teams; confirm funds received and requirements met.
· Financial accuracy: Calculate and verify purchase prices, prorations, fees, taxes, and incentives; reconcile deposits and balances with accounting; resolve discrepancies quickly.
· System entry & compliance: Enter and maintain accurate records in the property management system; ensure data integrity through move‑in; uphold company policies and applicable housing/lease standards.
· Reporting & dashboards: Maintain daily/weekly Excel reports and dashboards on pipeline status, close dates, and aging; deliver clean, executive‑ready updates.
· Continuous improvement: Propose process and template improvements to reduce cycle time and errors in a fast‑paced, high‑pressure environment.
Qualifications
Education & Experience
· Degree in Business, Accounting, or equivalent experience.
· Experience in property management (manufactured housing a plus) and/or real estate transactions (lease/sale/escrow/closing) is a plus but not required.
· Automotive dealership experience—F&I or contract desk, deal jackets, titling/registration, funding, or lender coordination (highly transferable) is a plus, but not required.
Skills & Abilities
· Numbers + accuracy: Exceptional attention to detail; Able to audit closing documents, calculate sales taxes and fees.
· Advanced Excel: Proficiency with XLOOKUP, PivotTables, and advanced formulas (SUMIFS, data validation, error‑checking).
· Familiarity with property management systems (e.g., Yardi, AppFolio, Rent Manager) and CRM tools (e.g., Salesforce, HubSpot).
· E‑signature platforms (Docusign/Adobe Sign) and document workflow management.
· High‑volume coordination: Proven success managing a high number of active deals at once with tight deadlines and shifting priorities.
· Communication & presence: Clear, professional verbal and written communication; confident on the phone and in live customer/partner interactions.
· Process discipline: Strong documentation habits and version control; consistent follow‑through until each deal is fully closed and recorded.
