FTE (Full-Time Equivalent): 100%

Schedule of Duties: 11-Month

Salary:$65,000- $95,000 annual/salary

Position Purpose: Supports the SHS Admission Director in recruiting and retaining students.

Specific Expectations for Admission Staff: In addition to regular admission office duties, the following duties and responsibilities are expected of all employees of the Admission Department:

  • Professional development as required by your supervisor, work beyond your regular hours when required and approved by your supervisor, and attendance of or participation in, mandatory meetings and/or events as directed by your supervisor.
  • All employees will be paid appropriately and according to current law. In the case you are required to work outside of your normal work schedule; non-exempt employees will receive overtime pay, as eligible.
EssentialFunctions:

Responsible for leading and coordinating every stage of the Preschool–5th grade admission process, from outreach and events to applicant evaluation and enrollment, including but not limited to:

  • Oversee Preschool–5th grade admission operations, including online file preparation, decision-making, and applicant evaluation.
  • Designing and facilitating engaging admission events such as Preview Days, tours, assessment opportunities, and campus visit programs.
  • Serving as an SHS representative at feeder schools, community events, and school fairs.
  • Welcoming new Preschool–5th grade families by preparing onboarding materials, participating in orientation events, and serving as a supportive liaison between families and school staff.
  • Collaborating with Preschool–5th grade administrators on welcome events, assessment logistics, and occasional program needs.
  • Evaluating Preschool–12th grade applications, with a primary focus on Preschool–5th grade.
  • Supporting newly enrolled families through ongoing stewardship in partnership with the Parent Association.
  • Assisting the Admission Office (Preschool–12th grade) with events and administrative functions, including maintaining electronic files, managing applicants records, and coordinating communication and mailings.
Qualifications:
  • BA degree and a minimum of three years' experience in a similar administrative position or an equivalent school administrative support position. Credential and/or MA degree preferred.
  • Two years minimum in admission required or equal relevant experience
  • Independent and or Catholic School experience preferred
  • Demonstrated high degree of integrity and confidentiality
  • Excellent customer service skills and commitment to the department's goals.
  • A clear commitment to the mission of the school as articulated in the Goals and Criteria of Sacred Heart Schools and professional behavior based on it
  • Ability to apply common sense understanding and to carry out instructions furnished in written or oral form.
  • Must demonstrate competency with Microsoft Office applications including MS Word, Excel and Outlook; proficiency with Adobe and the ability to use basic office equipment. Experience with Ravenna Admission software preferred.

  • Excellent writing and speaking skills in English. Spanish and/or Mandarin ability strongly preferred

  • Ability to communicate effectively with all constituents in a school environment.
  • Ability and desire to work effectively with preschool through grade 12 students and adult colleagues; willingness to be an active, enthusiastic member of the SHS community

  • Demonstrated excellent attendance and punctuality
Physical Requirements and Work Environment
  • Regularly sit, talk, walk, hear and interact with students, parents, staff and visitors
  • Ability to travel frequently, safely and comfortably across a 64 acre campus
  • Be able to occasionally lift up to 30 lbs.
  • Regularly use close and distance vision
  • Work at a desk and computer screen for extended periods of time
  • Turn, bend, reach and occasionally use a ladder
  • Work in a traditional climate controlled office environment and occasionally outdoors in weather typical to the central Peninsula region of the Bay Area
