Job Title: Client Service Representative (CSR) Lead/Veterinary Medical Assistant
Reports To: Business Manager/Veterinary Executive Assistant
FLSA Status: Non-exempt (hourly)
Location: Webster, NY
Hours: Position is full time, generally 30-40 hours/week, flexible scheduling.
Essential Functions:
- Work in collaboration with other staff to ensure that TVA supports the delivery of high quality care.
- Communicate with clients and with staff clearly and accurately.
- Manage/schedule part-time receptionist(s)
- Provide Clinical Administrative Support
Front Office Leadership
- Direct daily reception operations, including managing multi-line phones.
- Oversee scheduling for part-time reception staff and provide on-the-floor mentorship.
- Ensure the appointment calendar is optimized for doctor efficiency and patient care.
Clinical Administrative Support:
- Patient Workups: Assist doctor assistants by pulling and reviewing patient histories before appointments.
- Medical Records: Update and maintain digital patient charts with accuracy, ensuring all previous lab results and notes are organized for the veterinarian.
- Client Communication: Act as a liaison between the doctor and the client to gather history or relay non-medical follow-up information.
Operational Excellence:
- Handle financial transactions and daily reconciliation.
- Manage medical record requests and correspondence with specialty practices.
- Assist with some Office Manager Duties. Growth in this area encouraged to fast track pay increases.
- Other duties as assigned.
Qualifications:
- Maintain a valid NYS driver's license
- Strong written and verbal communication.
- Proficiency in Microsoft Office and Quickbooks. Ability to learn other platforms.
- Experience with Veterinary terminology preferred.
- 2+ years of veterinary or medical front office experience preferred.
- Demonstrated leadership or supervisory experience.
- Ability to follow, understand and apply operational and technical instruction.
- Must be dependable and punctual.
- Ability to work in a fast-paced environment with multiple priorities.

- Ability to lift 50 pounds.
