Our firm is seeking a full-time Office Administrator to work with our creative team. This role offers outstanding opportunities to develop your professional skills in a friendly business environment.

The Office Administrator (OA) is responsible for the management of the workplace while providing critical administrative support to the Partners. The OA will perform administrative operations, staff and office support, resource management, and scheduling and event coordination.

Responsibilities
  • Manage day-to-day office functions, including telephone reception, managing mail and correspondence, creating and maintaining electronic files.
  • Provide support for meetings, handle inquiries from clients and employees, and greet visitors.
  • Manage and maintain Partner’s schedules, appointments, and travel arrangements, both business and personal.
  • Monitor Partner’s emails, review incoming messages, and respond on the Partner’s behalf where appropriate.
  • Coordinate Partner’s initiatives, including interviews, juries, and presentations.
  • Oversee office supplies, equipment, and facilities, including ordering new items, coordinating with appropriate Manager on equipment needs, and coordinating with Building Management for all service/maintenance requests.
  • Organize and schedule meetings, appointments, and company events, which can also include coordinating travel and accommodation.
  • Collaborate with HR, assist with new employee onboarding, and help maintain employee records.
Qualifications
  • Successful candidates must have a minimum of three years professional experience in a support role
  • Mature self-starter with strong communication, organization, and multitasking skills
  • Technical skills should include proficiency in Office 365 and working knowledge of Adobe Creative Suite
  • Knowledge of standard office administrative practices and procedures
