Job Summary

We are hiring an experienced Project Manager to spearhead the delivery of critical clinical systems within our healthcare environment. This pivotal role ensures the seamless implementation, integration, and user adoption of new and upgraded clinical systems across Cygnet. This is a high-impact, high-visibility role where you will bridge technology and patient care, working closely with clinical leaders, IT experts, and administrative teams. Your success will directly translate into improved operational efficiency, enhanced patient safety, and compliance with the highest regulatory standards.

The ideal candidate will have extensive experience managing clinical systems projects (EPR / EPMA), working in healthcare environments (ideally mental health care), and delivering large-scale digital transformation initiatives.

Key Responsibilities
  • Project Management Leadership: Lead the full lifecycle of the EPR project, including initiation, planning, execution, monitoring, and closure, ensuring alignment with business goals.
  • Project Planning: Develop and maintain detailed project plans, schedules, and timelines, ensuring all key milestones and deadlines are met.
  • Resource Management: Coordinate and manage resources, both internal teams and third-party vendors, ensuring efficient allocation and performance throughout the project.
  • Budget Management: Oversee project budgets, ensuring that costs are controlled, and expenditures align with financial constraints.
  • Stakeholder Engagement: Work closely with clinical, administrative, and IT stakeholders to ensure the EPR system meets the needs of end users and aligns with organisational goals.
  • Regular Communication: Provide clear and consistent communication with stakeholders at all levels, including progress reports, risk updates, and change management plans.
  • Executive Reporting: Prepare and present regular project status updates to senior leadership and executive teams, highlighting risks, issues, and mitigation strategies.
  • Risk Identification: Identify potential risks and issues throughout the project lifecycle, developing and implementing mitigation strategies to minimize impact on project timelines and outcomes.
  • Issue Resolution: Lead the resolution of any project-related issues, working with cross-functional teams to ensure problems are addressed efficiently and effectively.
  • Vendor Management: Manage relationships with EPR system vendors, ensuring successful system configuration, customisation, and integration with existing healthcare & business infrastructure.
  • System Testing & Validation: Oversee the testing, validation, and quality assurance processes to ensure that the EPR system functions as expected and meets clinical and regulatory requirements.
  • Data Migration: Collaborate with data teams to manage the secure migration of patient records from legacy systems to the new EPR system, ensuring data integrity and patient confidentiality.
  • Training Program Development: Work with HR and training teams to develop comprehensive training programs for clinical and administrative staff, ensuring successful adoption of the EPR system.
  • User Support: Lead the development of user support structures, such as help desks and super-user networks, to ensure ongoing support post-implementation.
  • Regulatory Compliance: Ensure that the EPR system complies with healthcare regulations and standards (e.g. GDPR, NHS Digital standards) throughout the project lifecycle.
  • Clinical Safety: Collaborate with clinical teams to ensure that the EPR system enhances patient safety, data accuracy, and clinical workflows without compromising care quality.
  • Post-Go-Live Monitoring: Oversee the go-live process and post-implementation phase, ensuring that any issues or challenges are promptly addressed and that the system is fully operational.
  • Benefits Realization: Track and report on the benefits realized from the EPR system implementation, including improved patient outcomes, operational efficiencies, and enhanced compliance.
Experience & Qualifications
  • Minimum of 3 years' experience managing large-scale healthcare IT projects, with at least 3 years specialising in clinical systems.
  • Proven track record of delivering EPR systems in complex healthcare environments, with experience working with vendors, clinical teams, and IT staff.
  • Experience within a mental healthcare organisation is desirable.
  • Strong understanding of healthcare workflows, clinical systems, and patient data management.
  • Knowledge of healthcare regulatory frameworks and compliance standards (e.g. GDPR, NHS Digital standards).
  • Experience managing complex digital transformation projects in a multi-site healthcare organisation.
Education
  • A relevant project management certification (e.g., MSP, PRINCE2, Agile) is essential.
Skills
  • EPR Expertise: Deep understanding of EPR systems, including system configuration/design, implementation, and integration in healthcare settings.
  • Project Management: Excellent project management skills, with the ability to manage multiple workstreams, budgets, and deadlines.
  • Stakeholder Management: Strong communication and stakeholder management skills, with the ability to engage and influence clinical, IT, and executive teams.
  • Risk & Issue Management: Proficiency in risk assessment, mitigation, and issue resolution in large-scale IT projects.
  • Technical Skills: Familiarity with healthcare IT infrastructure, data migration, interoperability standards, and system testing processes.
