Forest Park Forever seeks an Administrative Assistant to support the Development, Community Engagement, Volunteer, Visitor Services and Communications & Marketing teams. This role will report to the SVP of Development & Community Initiatives assisting with coordinating and corresponding with internal and external constituents while helping organize and implement tasks essential to major capital campaigns and annual fundraising efforts. The ideal candidate will have strong communication and organizational skills, with the ability to work autonomously to contribute to the overall effectiveness of the supported departments.
Functions of the Job:
- Provides administrative support to the SVP of Development & Community Initiatives and respective departments.
- Proactively schedules meetings and manages calendars, addressing scheduling conflicts as they arise.
- Assembles and disseminates information; prepares source documents under the instruction of committee liaisons.
- Provides administrative support for committee and other meetings as requested including agenda creation and note-taking.
- Manages and coordinates special projects and events as directed by the SVP and afore-mentioned department leadership.
- Collaborates with other administrative assistants to support phone, desk, and office coverage, as well as office supply inventory.
- Receives and compiles communication and marketing requests from staff.
- Drafts correspondence and other documents on behalf of the SVP of Development & Community Initiatives. Proofreads letters and publications ensuring material is accurate.
- Processes and coordinates communications to the Board, donors, prospects, and other constituents as directed by the SVP and department leadership.
- Drafts Power Point and other presentation materials in alignment with brand standards.
- Ability to work with various databases and platforms and adapt to new technology.
- Files correspondence and other documents appropriately; maintains project files for SVP and subsequent departments.
