Sidekick Accounting is hiring a Tax Operations Assistant to keep our tax team organized, responsive, and on time. You'll handle scheduling and client outreach, manage email and documents, keep project statuses current, and complete light data entry in our tax software, so our preparers and strategists can focus on quality work.
Schedule: Part-time (set weekly schedule within 8–5 EST), with extra hours available during peak deadlines.
Location: Remote (company laptop provided).
Reports to: Operations Manager; supports Tax Preparer & Strategist.
Start Date: January 5, 2026

What You'll Do
- Client coordination: Call, email, or text (based on client preference) to schedule/confirm appointments and gather missing items.
- Inbox & documentation: Triage the tax inbox, file and name documents correctly, track e-signs/IDs/engagement letters, and keep folders tidy.
- Project status updates: Update tasks/boards twice weekly and same-day as work moves; flag blockers early.
- Light data entry: Enter simple figures (e.g., W-2/1099 totals, organizer basics) into TaxAct or Drake for team review.
- Team support: Capture client notes, assist with batch communications, and help the team stay deadline-ready.

What We're Looking For
Must-haves
- 1–2+ years administrative ops (e.g., data entry, order processing, or similar)
- Moderate skill with Google Workspace and Microsoft Word/Excel
- Comfort working in a project management system (Podio/Asana/ClickUp)
- Strong grammar and professional email tone
- Can work ET core hours and attend team meetings at 10:00am ET, Mon–Thu
Nice-to-haves
- Experience in tax/accounting, legal, or other confidentiality-heavy environments
- Familiarity with TaxAct or Drake
- Prior remote work in a paperless office
How We Work (Expectations)
- Responsive by default. Internal replies within 24 hours (Mon–Thu); client replies within 48 hours. If something's stuck, we say so and set a next step.
- Status stays fresh. Project boards are updated same-day as work moves, with twice-weekly summary updates. Nothing sits stale >24 hours.
- Accuracy is non-negotiable. We aim for ≥99% on spot checks—clean data entry, correct file naming, right folder, right year.
- Proactive scheduling. We keep calendars moving: ≥95% of assigned appointments scheduled/confirmed within 3 business days.
- Documents, complete. Our goal is momentum: ≥90% of returns advance to "Ready for Prep" with all required docs attached within 10 business days.
- Client-first channels. We reach out by the client's preferred method (phone, email, or text) and keep the tone clear, friendly, and concise—even if we're repeating key info.
- Team time matters. Core hours are 8–5 EST with team standups at 10:00am ET, Mon–Thu. We collaborate, ask for help early, and close loops.
- Secure and professional. Company laptop provided; no public Wi-Fi; follow security SOPs (MFA, permissions, confidentiality).
