Job Title: Administrative Support Services

Employment Type: Independent Contractor

Position Type: Remote/Hybrid

Business Hours: Project-based, 10–12 hours per week (Flexible based on project flow)

Compensation: $17-19 per hour depending on experience

Position Overview:

As part of Administrative Support Services, you'll support a variety of functions, including

administrative tasks, accounts payable, reporting, and client communications. You'll play a vital role in keeping our agency running smoothly.

We're looking for a reliable, highly organized professional who enjoys bringing order and clarity to a busy creative environment. This role is perfect for someone who enjoys supporting others, communicates thoughtfully, and can take initiative with confidence. Because our projects move quickly, we value someone who can work independently, problem-solve, and help keep our clients and team aligned.

You'll play a key role in helping us stay on track, especially with monitoring and scheduling client inquiries, preparing reports, and ensuring project details are handled with care. Key Responsibilities

Administrative & Financial Support

  • Assist with accounts payable, invoicing, and follow-ups on outstanding payments.
  • Coordinate meetings, prepare agendas, and document notes.
  • Run monthly and quarterly reports for time tracking, billing, and project analytics.
  • Run monthly social and email marketing analytics reports.
  • Support CRM management, lead tracking, and reporting.
  • Review client inquiries, prepare notes, assist with scheduling, and ensure timely follow-through.
  • Draft brochures, proposals, and invoices in HoneyBook.
  • Maintain Trello boards for project organization and internal alignment.
  • Organize reminders and follow-ups for internal needs such as events, client gifting, and project checkpoints.

Client & Project Support

  • Assist with client communications and project updates.
  • Support onboarding for collaborators and new team members.
  • Provide event support as needed, including organization, setup, and cleanup.

HR & Hiring Support

  • Post job listings, source candidates, and support the interview process.
  • Prepare onboarding contracts, training material, and assist with internal systems setup.
  • Maintain contractor and employee records as needed.

Additional Services

Additional services may be provided upon mutual agreement in writing.

In-Studio Requirements

On-site support may be requested occasionally for administrative tasks or events. These instances will be coordinated collaboratively based on project needs.

Candidate Evaluation

Selected applicants will be asked to complete a short test assignment. This will involve working within Excel to create a simple table with formulas and basic agenda.

  • Proficiency in Excel, Google Suite, and Google Calendar.
  • Experience with HoneyBook and Trello is a plus and willingness to master these platforms is required
  • Confidence in client-facing interactions and maintaining a positive, professional tone.
