We are currently looking for a Junior/Intermediate Administrative Assistant to join our Calgary studio. You will support DIALOG projects and reception coverage, be an active part of the DIALOG Administration team, and contribute to our dynamic, collaborative work environment. This role offers an exciting growth trajectory—starting with supporting senior administrative team members and gradually transitioning into an Executive Assistant position. You'll gain hands-on experience, learn the business, and develop the skills needed to thrive in a dynamic environment. How you will make a difference:
  • Deliver flexible, reliable, and consisten administrative support to multiple team members
  • Manage calendars, correspondence, and travel arrangements
  • Track external learning requests
  • Coordinate sponsorship and donation purchases and maintain accurate records
  • Organize headshots for team members
  • Assist the Client Services Coordinator with administrative tasks for company events, including travel bookings for management retreats
  • Provide reception coverage (lunch breaks, events, vacations)
  • Input monthly timesheets for "Partner Emeritus"
  • Support Lunch & Learn sessions—coordinate scheduling, catering, and logistics
  • Purchase event tickets (e.g., Calgary Chamber and other events)
  • Format meeting minutes prior to distribution
  • Organize team or department lunches and dinners
  • Assist with formatting letters, fee proposals, and sub-consultant agreements
  • Who you are:
  • A graduate of a post-secondary administrative program or related discipline is preferred
  • A minimum of 2-4 years administration experience
  • Excellent organizational and self-motivation skills
  • Ability to proactively make decisions and priority calls with little guidance
  • Excellent spoken and written communication skills
  • Intermediate to advanced skills in Microsoft Office programs including Word, Excel, Outlook, Teams and PowerPoint
  • Must be organized and be able to prioritize, have the ability to multitask
  • Ability to work in a team environment and independently is essential
