Job Overview
We are a busy public accounting firm in Tigard seeking an administrative assistant for dynamic support of our professional team. The ideal candidate will be responsible for providing comprehensive administrative support to ensure efficient operation of the accounting team. This role requires excellent communication skills, proficiency in office management, and a strong ability to multitask. The Administrative Assistant will serve as the first point of contact for visitors and clients, demonstrating exceptional phone etiquette and professionalism.

Needed Skills:

  • Prior experience in administrative support and/or willingness to learn
  • Prior experience in an accounting/CPA office preferred and/or willingness to learn
  • General knowledge of tax return types and schedules is a bonus
  • Advanced level word processing skills (typing, editing, formatting, grammar, proofreading)
  • Ability to prioritize tasks and accountant requests in a rapidly changing environment
  • Outstanding customer service skills for serving clients
  • Excellent interpersonal communication skills for supporting a diverse mix of staff and management
  • Highly organized, pays great attention to detail and accuracy
  • Ability to stay calm under pressure and fluctuating work demands
  • Ability to work independently, take ownership of tasks and be proactive around procedural changes/improvements
  • Performs in a highly dependable, ethical and professional manner
  • Eager to learn new skills and enjoys problem-solving
  • Possesses an amiable character and maintains a positive, can-do attitude
  • Assertive in asking questions and clarifying tasks/requests when needed

Responsibilities

  • Answer and process incoming calls and greet customers/vendors at door
  • Process incoming/outgoing mail and deliveries
  • Finalize and deliver tax returns and financial statements
  • Track client signatures for e-file authorizations
  • Tax extension and quarterly voucher delivery
  • Prepare and track client engagement letters
  • Bi-monthly invoice distribution
  • Maintain client files
  • Maintain office supplies and assist with general building maintenance
  • Maintain kitchen and common office areas
  • Scan and transmit documents as requested
  • Assist with tax season meal and snack ordering as needed
  • Assist managers with special projects as requested

Job Type: Part-time

Pay: $ $24.00 per hour

Expected hours: 20 – 25 per week
