About the Role
We are seeking a highly organized, detail-oriented Administrative Assistant to support daily office operations and ensure the smooth and efficient functioning of our team. The ideal candidate is dependable, proactive, and committed to providing excellent administrative and customer service support.
Key Responsibilities
- Greet and assist patients in person and over the phone in a professional, courteous manner; resolve issues promptly and effectively.
- Schedule, confirm, and manage patient appointments using the Electronic Health Record (EHR) system.
- Maintain and update patient files, charts, and EHR documentation accurately and confidentially.
- Verify insurance information, process patient forms, and collect co-payments.
- Prepare and submit billing and insurance claims as needed.
- Assist the clinical team with administrative tasks, including correspondence, reporting, and documentation.
- Manage incoming calls, messages, and emails, and route information to the appropriate team members.
- Maintain inventory of office and medical supplies; place orders as necessary to ensure smooth operations.
- Ensure compliance with HIPAA and all other healthcare privacy and confidentiality regulations.
- Support general office functions, including filing, scanning, faxing, copying, and data entry.
Required Qualifications
- High school diploma or equivalent required
- Strong customer service skills with the ability to communicate professionally and compassionately with patients, families, and staff.
- Proven experience as an administrative assistant, receptionist, or front desk coordinator in a healthcare setting.
- Knowledge of medical terminology, EHR systems (e.g., eClinicalWorks, Epic, Athenahealth, Cerner), and insurance processes.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
- Excellent interpersonal, communication, and organizational skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and the ability to multitask in a fast-paced environment.
Preferred Qualifications
- Experience with medical billing or coding.
- Familiarity with HIPAA compliance and healthcare administrative best practices.
- Associates degree or medical office certificate preferred.
