Our client is seeking a polished and highly organized Executive Assistant to support high-level leadership in a fast-paced, professional environment. This role requires exceptional attention to detail, strong judgment, and the ability to manage complex calendars, email filtering, meeting coordination, and travel planning. The ideal candidate is poised, professional, and excels at maintaining organization, confidentiality, and efficiency.

Key Responsibilities
:

  • Manage executive-level calendars, coordinate meetings, and schedule appointments with accuracy and urgency.
  • Screen and prioritize high-volume email inboxes; draft and organize communications as needed.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reports.
  • Serve as the first point of contact and represent leadership with professionalism and polished communication.
  • Organize documents, maintain filing systems, and prepare presentations or meeting materials.
  • Support daily operational needs, ensuring tasks are completed ahead of deadlines.
  • Anticipate needs, resolve issues proactively, and maintain confidentiality at all times.
  • Coordinate logistics for meetings, events, and high-level engagements.
  • Build relationships across the organization and communicate effectively with internal and external stakeholders.

Qualifications
:

  • 5+ years of Executive Assistant or senior administrative support experience.
  • Exceptional organizational skills with the ability to manage shifting priorities.
  • Strong written and verbal communication skills with a refined, polished presence.
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Experience coordinating complex travel and managing high-volume email inboxes.
  • Demonstrated ability to maintain professionalism, confidentiality, and discretion.
  • Highly detail-oriented with excellent follow-through and reliability.

Preferred:

  • Experience supporting VP-level or C-suite leaders.
  • Exposure to fast-paced corporate, manufacturing, or professional services environments.
