Summary: The Sales Coordinator is responsible for developing and implementing strategies to attract visitors, meetings, tournaments, and events to the Williston area. As the primary sales contact for the Williston CVB, this position plays a vital role in promoting Williston as a premier destination for business travel, sports travel, meetings, and events that generate overnight hotel stays and other visitor spending. This position is ideal for someone who thrives in a collaborative, hands-on environment and enjoys balancing relationship-building, creative problem-solving, has a passion for the Williston area, and thrives on measurable results.Supervision Received: CVB Executive DirectorSupervision Exercised: NoneEmployment Status: The Sales Coordinator position is a full-time position, including occasional early mornings, evenings, and weekends. This position does require domestic and international travel and reports directly to the CVB Executive Director. FLSA Status: Non-ExemptEssential Job Functions: Develop and execute annual & long-range sales initiatives focused on attracting meetings, conventions, sports tournaments, and group travel to Williston. Prospect, identify, and cultivate relationships with meeting planners, sports organizations, tour operators, event organizers, venues, and hotel properties.Create and execute lead generation strategies for attracting conventions, group travel, and events. Prepare and present proposals, bids, and promotional materials to secure business for local venues, hotels, and attractions.Represent Williston at regional and national travel and tourism trade shows, conferences, and networking events.Coordinate and host site visits and familiarization (FAM) tours for prospective clients.Collaborate with the Executive Director and team on marketing and advertising initiatives to support sales efforts.Provide partners with updates, data, and collaboration opportunities related to sales and tourism trends.Participate in local tourism and business development committees or task forces.Support local events and festivals that enhance the visitor experience and strengthen Williston's brand.Oversee and maintain sales database (IDSS). Track and maintain accurate and organized records of sales activity, leads, and event outcomes using CRM (IDSS) software. Prepare regular reports summarizing sales metrics, partner impact, and return on investment.Assist with annual budgeting and grant applications, including cooperative marketing or tourism development programs.Act as a liaison for the Bureau on various committees assigned by the Executive Director.Works directly with the CVB team to make sure that booked business is taken care of, satisfied, and returns. Participate in CVB functions, receptions, events, and trade shows as needed.Other duties as assigned by the Executive Director.Performs all work duties and activities in accordance with City policies and procedures.Note: The functions and duties listed are intended only as illustrations of the various types of work that may be performed. Experience: 2–4 years of experience in tourism, hospitality, sales, or destination marketing (or an equivalent combination of education and experience).Minimum Qualifications: Great customer relations skills, friendly, courteous personality; great written and verbal communication skills; good organizational skills; demonstrates knowledge of technology and computer systems; public speaking skills; public relations; highly motivated and goal-oriented.Necessary Special Requirement: Valid North Dakota driver's license; must be bondable and insurable under the City's motor vehicle insurance policy.Travel Requirement: This position requires domestic and occasional international travel. Candidates must possess (or be eligible to obtain) a valid U.S. passport.Equipment Used in Job Performance: Operation of standard office equipment and a personal computer with software applications for word processing, graphic presentations, spreadsheets, databases, information retrieval and research, and other job-related software. External Relationships: Maintains positive communication and fosters cooperation with the hospitality industry, and area community members and leaders.Internal Relationships: Maintains regular communication with all staff and the board of directors.Physical Demands: This work requires the regular exertion of up to 10 pounds of force, frequent exertion of up to 40 pounds of force and occasional exertion of up to 50 pounds of force; work regularly requires speaking or hearing, using hands to finger, handle or feel and repetitive motions, frequently requires standing, walking and reaching with hands and arms and occasionally requires sitting, climbing or balancing, stooping, kneeling, crouching or crawling, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts and observing general surroundings and activities.General and Physical Abilities: Must be available to work evenings and weekends.
