Job Summary

Responsibilities

  • Greet patients warmly and professionally at the front desk or via phone, demonstrating excellent phone etiquette and customer service skills
  • Verify insurance coverage, including Medicare, Medicaid, and private insurers or obtaining authorizations.
  • Schedule patient appointments accurately utilizing medical scheduling software and multi-line phone systems
  • Review and update patient medical records within Electronic Health Record (EHR) systems while maintaining HIPAA compliance and confidentiality standards
  • Assist with intake procedures, including collecting demographic information and explaining clinic policies
  • Conduct insurance verification and pre-authorizations to facilitate smooth billing processes
  • Support billing activities by uploading various documents to our EMR platform as well medical billing procedures, and documentation review to ensure accurate claims submission.
  • Maintain organized filing of medical records and other administrative documents, utilizing office management tools.
  • Collaborate with clinical staff and administrative staff to coordinate care plans and ensure seamless communication between departments
  • Handle inquiries related to medical office management, appointment rescheduling, or billing issues with professionalism .

Qualifications

  • Proven experience in a medical office environment or healthcare setting with clerical or administrative responsibilities
  • Strong knowledge of EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with dental terminology and dental office experience is a plus
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel), typing (10 key), and familiarity with health information management software like Eaglesoft or Dentrix
  • Excellent communication skills with a focus on patient service and phone etiquette; bilingual abilities are highly desirable
  • Knowledge of medical terminology, ICD-9/ICD-10 coding standards, CPT coding, and insurance verification processes is a plus.
  • Ability to review documentation thoroughly while adhering to HIPAA regulations for confidentiality and security of protected health information (PHI)
  • Strong organizational skills with attention to detail in filing, data entry, and documentation review
  • Prior clinic experience or hospital experience is preferred; dental clinic experience is a bonus
  • Ability to multitask efficiently in a fast-paced environment while maintaining professionalism under pressure.
