As part of this dynamic team, the Office Manager will head the day-to-day office operations. This includes but is not limited to managing / leading the service team as well as the servicing advisors of the office.
Key Responsibilities
- Lead the office in a variety of areas including maintaining operational procedures, technology implementation and enhancements, enriching the client experience.
- Train new employees in operational processes & procedures.
- Handle escalations of issues including but not limited to working with the custodian(s) and / or parent team to help team members get issues resolved quickly and effectively.
- Be a boots-on-the-ground culture advocate for the company.
- Work closely with each team to ensure business gets processed accurately, efficiently, and follows all compliance standards.
- Greet clients and answer phones in a professional and welcoming manner. Check phone messages, update calendars, confirm appointments, and pull client files.
- Prepare the lobby and conference rooms for client meetings. Responsible for maintaining the waiting area, kitchen and common areas.
- Manage incoming and outgoing mail.
- Take on projects as needed or assigned to support overall branch operations.
- Record and reconcile meeting notes and tasks in CRM.
- Support parent company in a variety of other duties and responsibilities as required by your supervisor.
Qualifications
- High School Diploma
or GED required. Associate or bachelor's degree preferred. - Demonstrates proficient industry experience and knowledge.
- 2 years of financial services experience
in a similar role. - Proficiency in Microsoft Office Suite
and experience with CRM systems.
