Responsibilities

  • Oversee daily office operations, ensuring all administrative processes run seamlessly and efficiently
  • Manage calendar scheduling, appointment setting, and coordinate meetings for staff and leadership teams
  • Handle front desk duties including greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette
  • Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
  • Supervise vendor relationships, including negotiating contracts, managing supplies, and coordinating service appointments
  • Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with training & development initiatives
  • Manage bookkeeping tasks using QuickBooks or similar accounting software to track expenses, invoices, and reimbursements
  • Assist with payroll processing by collecting timesheets and ensuring accurate data entry in collaboration with HR or payroll providers
  • Prepare budgets for office supplies, events, or departmental needs; monitor expenditures to stay within allocated limits
  • Plan and coordinate company events or team-building activities to foster engagement and morale
  • Maintain office equipment and supplies inventory; coordinate repairs or replacements as needed
  • Support medical office management tasks if applicable, including appointment scheduling or patient record organization

Qualifications

  • Proven experience in office administration or related roles with strong organizational skills
  • Demonstrated supervisory experience overseeing teams or projects effectively
  • Proficiency in QuickBooks accounting software; experience with bookkeeping is highly desirable
  • Excellent communication skills—both verbal and written—with professional phone etiquette
  • Strong organizational abilities with keen attention to detail in filing, scheduling, and record keeping
  • Experience managing multi-line phone systems and calendar management tools effectively
  • Knowledge of vendor management practices including contract negotiations and service coordination
  • Familiarity with human resources processes such as onboarding, training & development, payroll support, and employee record management
  • Ability to handle clerical tasks efficiently while maintaining a positive attitude in a fast-paced environment
  • Experience working within a medical office setting is a plus but not required
  • Competence in budgeting, event planning, front desk operations, and general office management
