Position Overview
We are seeking a highly capable, detail-driven Executive Administrative Assistant to support the leadership and board operations of a premier Homeowners Association. This role is ideal for a confident, self-directed professional who thrives in a fast-paced environment, works with discretion, and takes ownership of outcomes.
The successful candidate will play a critical role in board governance support, hybrid meeting execution, administrative compliance, and confidential human resources and payroll assistance. Familiarity with Florida Statute 720 is strongly preferred. A CAM license is not required.
Key Responsibilities
Board & Governance Support
- Prepare and coordinate board meeting agendas, packets, and supporting materials
- Set up, manage, and troubleshoot hybrid board meetings (in-person and virtual)
- Track action items, deadlines, and board directives
- Maintain official records, resolutions, and governing documents
Administrative & Office Operations
- Manage daily administrative functions with minimal oversight
- Maintain organized homeowner, board, and association records (digital and physical)
- Serve as a professional point of contact for board members, vendors, and homeowners
- Prepare correspondence, reports, and official association communications
Human Resources & Payroll Support
- Provide confidential administrative support for HR and payroll functions
- Assist with onboarding documentation, personnel files, and internal reporting
- Handle sensitive information with the highest level of discretion and professionalism
Compliance & Community Processes
- Support architectural review and compliance tracking
- Assist with violation documentation and statutory notices as directed
- Ensure administrative processes align with governing documents and Florida Statute 720
Qualifications & Skills
- Highly independent, self-motivated, and accountable for results
- Strong understanding of HOA operations and board governance preferred
- Working knowledge of Florida Statute 720 strongly desired
- Exceptional organizational and time-management skills
- Excellent written and verbal communication abilities
- Proven ability to manage confidential and sensitive information
- Comfortable working directly with board members and senior leadership
- Bilingual (English/Spanish) a plus
- Prior experience in HOA administration, executive support, legal, or property management preferred
