High-producing real estate broker is seeking a sharp, upbeat, proactive Licensed Real Estate Executive Assistant to manage day-to-day operations, support active transactions, and handle marketing and administrative tasks. This role is ideal for someone who thrives in a fast-paced environment, loves real estate, and can confidently take ownership of systems, files, and client communication.
Key Responsibilities
Transaction & File Management
Coordinate and manage all real estate transactions from contract to close
Ensure all documents are complete, accurate, and compliant
Maintain organized digital and physical files for all listings and transactions
Track deadlines, contingencies, and follow up with all parties as needed
Listings & Database Management
Input and maintain property listings in MLS and other platforms
Update listing details, photos, remarks, and status changes
Maintain and clean up the client database/CRM regularly
Help manage drip campaigns, follow-up plans, and client touchpoints
Client Communication & Support
Serve as a professional point of contact for buyers, sellers, vendors, and other agents
Schedule and confirm showings, inspections, appraisals, and other appointments
Attend inspections and certain appointments as needed
Draft contracts, addenda, disclosures, and other real estate documents for review and signature
Marketing & Social Media
Create property marketing materials: flyers, brochures, email blasts, & online ads
Plan and post consistent content on social media channels (listings, just sold, open houses, etc.)
Assist with marketing campaigns, mailers, newsletters, and branding projects
Coordinate photography, videography, staging, and online marketing for listings
General Administrative Support
Provide day-to-day support to the broker with calendar management and task follow-up
Handle phone calls, emails, and general office tasks
Perform any other related duties to ensure smooth operations and exceptional client service
Required Qualifications
Active Real Estate License (MUST HAVE – required, not optional)
Previous real estate experience required (assistant, transaction coordinator, agent, or similar)
Strong understanding of the real estate transaction process, contracts, and documents
Excellent written and verbal communication skills
High attention to detail and strong organizational skills
Ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment
Proficient with computers, CRM systems, and common real estate tech tools
Professional, reliable, and able to handle confidential information
Preferred Qualifications
Experience using kvCORE (highly preferred)
Experience with MLS input, contract software, e-sign platforms (e.g., DocuSign, Dotloop, etc.)
Familiarity with Canva or similar design tools for marketing materials
Social media marketing experience (Facebook, Instagram, etc.)
