Position Overview:
We are seeking an Administrative Assistant/Receptionist that can manage the front office, offer customer service (phone/in-person), preparing documents (files, liens, etc.), coordinating logistics, and general admin, requiring strong multitasking, communication, detail-orientation, and empathy for people in stressful situations (fire, water, mold damage). They're the first point of contact, ensuring smooth operations and client satisfaction during property damage recovery.
Key Responsibilities:
- Customer Service: Greeting visitors, answering/directing calls, handling inquiries, fielding customer concerns to the right person, managing client communication.
- Scheduling & Coordination: Booking appointments, scheduling meetings.
- Document Management: Creating folders, correspondence, reports; maintaining organized digital/physical files, gathering missing information and insurance information from clients.
- Office Operations: Managing supplies, coordinating mail/deliveries, maintaining front office appearance, data entry, general clerical tasks, filing.
- Support: Assisting other departments (managers, crews), supporting events, tracking project details.
Essential Skills & Qualifications:
- Soft Skills: Excellent communication (verbal/written), customer service, multitasking, problem-solving, organization, time management, empathy, attention to detail.
- Technical Skills: Proficiency in MS Office (Word, Excel), office equipment, potentially restoration management software.
- Experience: Customer service background, admin experience.
Restoration-Specific Duties:
- Helping people during emergencies (water, fire, mold).
- Following up with clients and vendors post-service.
- Preparing internal job file requirements for disaster recovery.
