Overview
We are seeking a highly organized and proactive Personal Assistant to support executive leadership with a variety of administrative and project coordination tasks. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various digital tools. This role offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential for success.
Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events efficiently
- Coordinate event planning activities, including logistics, vendor communication, and follow-up to ensure successful execution
- Prepare and proofread documents, reports, and correspondence with attention to accuracy and professionalism
- Handle phone etiquette with clients, vendors, and internal teams through multi-line phone systems and front desk duties
- Perform data entry, filing, and document management using Microsoft Office Suite, DocuSign, and other office software
- Assist with bookkeeping tasks using QuickBooks and basic bookkeeping principles
- Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items
- Provide executive administrative support such as transcription, proofreading, and managing confidential information
- Oversee office management duties including supply inventory, organization of files, and maintaining a professional office environment
- Deliver exceptional customer service through effective communication and problem-solving skills
Qualifications
- Proven experience as a personal assistant or in an administrative support role with office management responsibilities
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent typing skills along with proficiency in Microsoft Office (Word, Excel), Microsoft Outlook, Google Workspace (Docs, Sheets), and data entry software
- Experience with event planning, project coordination, bookkeeping (QuickBooks), and office procedures
- Exceptional phone etiquette and customer service skills for handling multi-line phone systems and front desk operations
- High level of computer literacy with familiarity in transcription, proofreading, filing systems, and digital document signing platforms like DocuSign
- Ability to work independently with minimal supervision while maintaining attention to detail
- Previous experience supporting executives or high-level professionals is preferred

Pay: $ $30.00 per hour
Expected hours: 20.0 – 30.0 per week
