Overview
We are seeking an energetic and highly organized Front Desk & Administrative Coordinator to join our compassionate, fast-growing team. This vital role combines front desk responsibilities with comprehensive administrative support to ensure smooth daily operations and exceptional client experiences.
Tampa Counseling and Wellness and our evaluation division, Liberty Evaluations, provide both general therapy services and comprehensive psychological evaluations for veterans and the general public. The ideal candidate will bring warmth, efficiency, and a genuine desire to support others, balancing professionalism with compassion in every interaction.
This is a paid, part-time position (approximately 24 hours per week) offering the opportunity to develop administrative expertise while contributing to a warm, friendly and mission-driven practice.
Duties & Responsibilities
- Greet clients and visitors warmly, creating a welcoming and professional first impression.
- Manage multi-line phone systems — answering calls promptly, returning missed calls, and directing inquiries with care and accuracy.
- Schedule therapy and evaluation appointments
- Maintain and update EHR systems (e.g., SimplePractice, IntakeQ), ensuring all necessary forms and records are complete prior to sessions.
- Perform data entry and maintain accurate tracking systems in Excel (including dropdown menus and checkboxes).
- Process invoice requestsandmanage bill payments.
- Provide light Canva design support for flyers, social media graphics, and digital forms.
- Occasionally assist with event coordination and occasional community tabling to support outreach and awareness initiatives.
- Support bookkeeping and document management while maintaining confidentiality of sensitive client information.
- Learn new systems and software efficiently, troubleshooting issues as they arise.
- Maintain a clean, organized, and efficient workspace, ensuring operational flow across multiple clinicians and programs.
Requirements
- Proven experience in an administrative, front desk, or mental health office setting.
- Strong computer literacy, including Microsoft Office, Google Workspace, and EHR systems.
- Excellent phone etiquette and ability to multitask while typing and gathering client information.
- Highly organized, detail-oriented, and dependable with excellent follow-through.
- Ability to stay calm, professional, and solution-focused in a dynamic environment.
- Strong written and verbal communication skills; compassionate interpersonal style.
- Quick learner who can navigate multiple software platforms confidently.
- Experience with Canva, SimplePractice, IntakeQ, or HubDoc preferred but not required.
- Punctual, reliable, and able to maintain confidentiality at all times.
