Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team and support our daily operations. This role is essential in ensuring the smooth functioning of office activities, providing exceptional customer service, and maintaining efficient administrative processes. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to thrive in a fast-paced environment. Whether managing schedules, handling correspondence, or supporting office management tasks, you will play a vital role in creating a welcoming and productive workplace. Hours are Monday - Thursday, starting with 20-25 hours per week eventually increasing to full time for the right candidate down the road. Pay DOE.
Duties
- Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth
- Manage fleet by updating/tracking information through digital means and process DMV transactions when necessary
- Handle incoming correspondence, emails, and inquiries promptly and efficiently
- Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
- Perform daily, weekly, monthly job billing
- Schedule appointments, coordinate calendars, and manage meeting logistics for staff and owner
- Support office management by ordering supplies, maintaining inventory, and overseeing general office upkeep
- Assist with proofreading documents, reports, and communications to ensure accuracy and clarity
- Support customer service efforts by responding to inquiries via phone or email with professionalism and enthusiasm
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools to prepare reports, presentations, and correspondence
- Conduct clerical tasks such as photocopying, scanning, faxing, and filing important documents
- Provide personal assistant support when needed—such as travel arrangements or special project coordination
- Maintain a professional environment by practicing excellent time management and organizational skills
Requirements
- Proven experience in an office environment or administrative role with strong clerical skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry tools
- Familiarity with QuickBooks is highly desirable as this may be needed down the road
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
- Strong written and verbal communication skills
- Valid driver's license is required for running company errands
- Ability to handle sensitive information discreetly with high levels of professionalism
- High attention to detail and accuracy in data entry and record keeping
- Strong problem-solving abilities, ability to multitask and continue working with frequent interruptions
- Personal assistant or calendar management experience is beneficial for supporting company needs
- Demonstrated computer literacy with proficiency utilizing spreadsheets and document editing tasks
- Strong customer service orientation with a friendly demeanor and positive attitude
