We are seeking a highly organized and motivated Executive Assistant to join our dynamic team. As an Executive Assistant, you will be an essential pillar of support for our senior executives, ensuring seamless operations and enabling efficient decision-making. Your exceptional administrative skills, discretion, and attention to detail will be instrumental in maintaining a high level of professionalism and effectiveness across the organization. This position reports directly to the Managing Director/CEO.
Here is what you would do in the role of Executive Assistant:
- Calendar Management: Proactively manage and optimize the schedules of our senior executives, including arranging meetings, appointments, and conference calls, while considering competing priorities and deadlines.
- Communication Liaison: Serve as a reliable point of contact between executives and both internal and external stakeholders. Professionally manage emails, phone calls, and other correspondence, ensuring prompt and accurate responses.
- Travel Coordination: Expertly handle complex travel arrangements, including booking flights, accommodations, ground transportation, and other logistical details for business trips.
- Meeting Support: Prepare comprehensive meeting agendas, collate relevant materials, and provide valuable assistance during meetings by taking minutes and tracking action items.
- Document Preparation: Exhibit precision in creating, editing, and formatting a wide array of reports, presentations, and other documents as required.
- Data Management: Safeguard confidential and sensitive information, ensuring its proper organization, storage, and accessibility.
- Event Planning: Provide orchestration of Director and Executive Committee meetings (includes the annual meeting and strategic retreat); encompasses agenda preparation; site selection; logistics and social activities; speakers and presenters; expense oversight; Director communication; meeting minutes; and follow-up on action items/decisions.
- Project Assistance: Collaborate closely with various teams to facilitate project coordination, follow-ups, and progress tracking.
- Executive Support: Anticipate the needs of executives and provide personalized support, handling ad-hoc requests with efficiency and utmost discretion.
Here are the qualifications you should bring to the table:
- Bachelor's degree is preferred but not mandatory.
- 5-7 years' experience supporting high-level executives strongly preferred.
- High energy, proactive, positive, detail-oriented, self-motivated, and flexible, strong team player.
- Excellent organizational and time management abilities, adept at prioritizing tasks effectively and meeting deadlines.
- Exceptional written and verbal communication skills, coupled with a professional demeanor in all interactions.
- Proficiency in productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a knack for adapting to new software and technologies.
- Leads with the highest integrity and confidence with all policies and practices. Discretion and the ability to handle sensitive information and company matters with the utmost confidentiality.
- Capable of working independently, taking initiative, and making informed decisions when needed. Thrives in a fast-paced and dynamic work environment.
- Exceptional attention to detail and accuracy in all tasks performed.
