Overview
We are seeking a highly organized and proactive Director Assistant to support executive leadership with a variety of administrative and operational tasks. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to work in a dynamic environment, providing essential support to ensure smooth daily operations and effective project coordination.

Responsibilities

  • Manage calendar scheduling, appointment setting, and meeting coordination for executives
  • Handle front desk duties, including greeting visitors and managing multi-line phone systems
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office, Google Workspace, and other software tools for correspondence and report preparation
  • Support bookkeeping and basic financial tasks using QuickBooks or similar accounting software
  • Assist with office management tasks such as supply ordering, organization of files, and maintaining office equipment
  • Provide customer service support via phone, email, or in person with professional phone etiquette
  • Coordinate travel arrangements and event planning as needed
  • Support personal assistant duties including calendar management and task prioritization
  • Maintain confidentiality of sensitive information and ensure compliance with company policies

Qualifications

  • Proven experience in office management, administrative support, or related roles
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Effective communication skills, both verbal and written; bilingual abilities are a plus
  • Experience with front desk operations, multi-line phone systems, and customer service best practices
  • Familiarity with QuickBooks or bookkeeping software is preferred
  • Previous experience as a personal assistant or medical/dental receptionist is advantageous
  • Demonstrated ability to manage calendars, schedule appointments, and handle administrative tasks with attention to detail
  • Strong typing skills and proofreading abilities to ensure accuracy in all documents
  • Ability to work independently with minimal supervision while maintaining professionalism and discretion

Pay: $ $22.00 per hour
