The Rise & Shine Hospitality Group is looking for an Event Coordinator/Manager to join their team at Feast & Fareway in beautiful Coronado, California

Qualifications:

  • 2-3 years of event coordinating experience

The Details:

Event Coordinator is in charge of planning and facilitating events of varying sizes and purposes. The Event Coordinator is a multitasking expert who makes sure the event logistics work out, they keep everything within the allocated budget and ensure that the event itself is carried out smoothly. They ensure that guests are receiving the full Feast & Fareway branded experience and that shining moments are created at every opportunity. Last but certainly not least, they must consistently come to work with a Rise & Shine CAN DO attitude and always honor the 10-foot zone of hospitality.

This hybrid role will involve providing administrative support to the Sales and Marketing team and coordinating trainings and banquet events. The applicant is an employee of Feast and Fareway, and reports to the GM, however, there will be constant communication with the Sales Department to ensure a smooth transition from acquisition to activation. The ability to cultivate that relationship on both ends is pivotal to the position

Event Coordinator - Prior to event day

  • Regular, on-time attendance;
  • Work directly with event and wedding coordinator consultants and salesperson;
  • Correspondence with clients through the planning process, walk throughs, and creation of layout and timeline, and answering general questions;
  • Attend weekly meetings;
  • Prepare for review of closed business, upcoming events, layouts, BEO, special instructions during weekly meetings;
  • Work directly with clients and event planners to coordinate special instructions and details;
  • Submit any changes to event details with the General Manager prior to confirming with the client;
  • Collect and file the COI and Coronado Business Permit from outside vendors listed on the BEO;
  • Communicate with vendors including but not limited to ordering linen, coordinating walkthroughs,deliveries for dessert, photography, pipe & drape, staging, entertainment, and rentals;
  • Communicate with clients that no changes will to event details can be made after the established cut off date
  • Ensure all necessary in-house equipment is in stock, clean, and ready to use;
  • Communicate and delegate to staff regarding silverware polishing and equipment placement and storage;
  • Communicate event shutdown expectations with the banquet team including creating checklists;
  • Use Tripleseat to update, modify, print and distribute contracts;
  • Communicate BEO's within Tripleseat in a timely manner with the events team, managers and chefs;
  • Print and post monthly events calendar for the banquet team;
  • Print and post event BEOs on the community board once all details are finalized;
  • Process in-house event deposits when FOH Managers/Sales Manager is not available;
  • Answer the Vonage line and check office voicemail while clocked in. Handoff potential client inquiries to the Sales Manager (as the leads come in);
  • Communicate with clients and vendors no less than 7 days before regular events and 14 days before weddings to the event to confirm all details are solidified including but not limited to headcount, rentals, food, dietary restrictions, linen, insurance, licensing, layout/set up, and decor;
  • Meet with walk-in event inquiries when Sales Manager is unavailable and provide client contact information to the Sales Manager;
  • Stay active with taking photographs of displays, plated items, layouts, and buffets;
  • Assign and delegate actionable items to staff as needed

Event Coordinator - Day of event

  • Point Of Contact for the clients and incoming vendors on the day of the event when scheduled;
  • Conduct a proper hand-off to the MOD in the case that the event coordinator leaves prior to the end of the event
  • Walk through BEO, ensuring it is up to the contracted standards;
  • Communicate BEO and layout details and special instructions to the banquet team;
  • Lead pre-shift meetings before each event and answer staff questions;
  • Ensure the layout, linens, menu and bar are all correctly set up according to client needs;
  • Follow and enforce the timeline throughout the event;
  • Handle any client or vendor concerns that may arise through the event;
  • Work with service staff to ensure excellent service and guest satisfaction;
  • Establish and maintain relationships with Company contracted and guest "hired" vendors;
  • Manage vendor meals and necessary set up of vendor equipment;
  • Communicate with the back of the house kitchen team/Chef to fulfill BEO menu requirements. Confirm all guest allergies are accounted for;
  • Follow up with guests to ensure everyone has received their food portions;
  • Place security guards in the correct areas on the green for Bayside weddings when the MOD is unavailable;
  • Work closely with F&F Manager on-site and update them with any necessary changes or information;
  • Work with FOH Manager to process all final balances due in-store the day of event;
  • Work with FOH Manager to accurately ring events into the POS system;
  • Successfully complete properly prepared check out with the manager;
  • Look. See. Take action. Keep moving;
  • Seek direction and support as needed;
  • Be available to work on all holidays;
  • Be available to work on all weekends;
  • Other tasks and responsibilities as assigned to you by the owners or management

Job Type: Full-time

Pay: $78,000.00 per year
