Overview
The Carmel Administrative & Operations Coordinator is an important support role that helps keep our campus running smoothly. This position provides hands-on administrative and operational support to both central and campus staff, ensuring that events, projects, facilities, and Sunday services are well-coordinated and executed with excellence.

This part-time role (20–25 hours per week) is ideal for someone who enjoys working behind the scenes, thrives in a detail-oriented environment, and finds joy in helping others succeed. The right candidate will bring a servant-hearted mindset, strong organizational skills, and a desire to see ministry run efficiently so that our mission—helping people find their way back to God—remains front and center.

What you'll do:

  • Serve as the first point of contact for the Carmel Campus by helping manage incoming phone calls, vendor requests, emails, mail, and visitor inquiries.
  • Support the Campus Pastor by overseeing administrative tasks like processing connection cards and prayer requests, building maintenance issues, managing marriage & benevolence processes, printing resources, ordering supplies, and organizing office needs—sometimes with volunteer help.
  • Provide the Campus Pastor with weekly updates on events, attendance, new visitors, and Sunday volunteer teams.
  • Work with outside vendors (janitorial, HVAC, café, etc.) to keep the campus and its operations running smoothly.
  • Use church systems (Planning Center Online & ClickUp) to update records, enter weekly attendance, update events, update project management workflows, and manage volunteer data.
  • Look for ways to improve processes—offering ideas to strengthen communication, boost efficiency, and create consistency across campus operations.

Desired Experience & Education

  • Educational Background—A bachelor's degree in business administration, operations management, or a related field is preferred.
  • Time Management—Proven ability to manage multiple tasks and prioritize effectively.
  • Organizational Skills—Excellent organizational/administrative skills with attention to detail, and a keen ability to see projects and tasks through to completion
  • Technical Skills—Proficiency in project management software (e.g., Asana, ClickUp), Microsoft Office Suite (Word, Excel), and or Google Apps (Drive, Gmail, Calendar, etc.), and/orApple Apps (Pages, Sheets)

Working Conditions
This role involves a mix of desk and campus activity. Staff members should expect to spend extended periods working at a desk on a personal computer, as well as moving throughout the church campus to support ministry needs. The position occasionally requires lifting and carrying boxes or equipment weighing up to 40 pounds. Work is performed in a typical office environment with frequent interaction across campus, including classrooms, worship spaces, and outdoor areas. Regular work hours are Sundays from 8:00 a.m. to 12:00 p.m. and Monday through Thursday during normal business hours, with occasional adjustments for special events or ministry needs.
