Job Summary

The Epic Environment and Release Coordinator is accountable for the success of the day-to-day application maintenance and environment strategy of the Epic Medical Record system in use at Xtensys. The Epic Environments coordinator will support IT Management in all aspects of Epic support including coordination of technical change management, scheduled and unscheduled updates, coordination of update and change activity with the vendor, and collaboration with all service areas and clinical groups as needed. This position will provide clear direction to IT leadership, application analysts, and project teams to ensure alignment of Xtensys' environment strategy.

Key Responsibilities
  • Minimum 3 (three) years of experience in IT or healthcare experience in Release management, software development, technical support, systems analyst, program management, or QA roles preferred.
  • Minimum three (3) years of experience with enterprise IT system activities including implementation projects, upgrade projects, and periodic maintenance.
  • Experience with functional, interface, integration, and user acceptance testing, preferred.
  • Experience with Epic Software build tracking, change management, and Data Courier and Content Management processes.
  • System analyst or equivalent experience with implementation or operational support of Epic Software, or other IT enterprise EHR systems preferred.
  • Experience leading meetings and teams through detailed planning sessions for downtimes, and other environment changes.
  • Epic experience with Epic's User Web, Nova, Sherlock, and Release Authorization processes preferred.
  • Experience with Business Continuity and Disaster Recovery planning and testing preferred.
  • Knowledge of HL7 and database concepts preferred.
  • Responsible for daytoday Technical Change Management for the Epic system.
  • Responsible for defining and implementing the change control processes and coordinating key Epic environment activities including upgrades, updates and build migrations.
  • Responsible for Data Courier standards, practices, and users within the Epic system.
  • Responsible for configuring and supporting the interfaces used to migrate application build between environments using the Data Courier and Content Management applications.
  • Responsible for maintaining the Data Courier and Content Management protection and security settings in accordance with policies and procedures.
  • Responsible for instructing application analysts on Data Courier and Content Management functionality.
  • Responsible for resolving CID/UCI synchronization issues.
  • Responsible for assisting Epic analysts with troubleshooting Data Courier and Content Management issues.
  • Responsible for reviewing, disseminating, and following up on Patient Safety Escalations (P.S.E.) documents delivered by Epic.
  • Responsible for reviewing, disseminating, and following up on Care Concern Bulleting (C.C.B.) documents delivered by Epic.
  • Manage all Epic environments, including environments used for production, testing, training, and build.
  • Responsible for reviewing, disseminating, and following up on Nova documentation delivered by Epic.
  • Responsible for reviewing, disseminating, and following up on Epic Sherlock issues.
  • Participate in the Epic Review Authorization (RA) process.
  • Perform Nova note administrator role including creating projects, distributing notes, and tracking progress.
  • Collaborate with QA team for application and integrated testing for upgrades.
  • Keep IT Management team aware of status on areas of responsibility through developing and communicating status reports.
  • Acts as Environment Coordinator point of contact for the Epic personnel and Cloud vendor partners.
  • Provides leadership, activity planning, coordination and directions for SU and version upgrades.
  • Ability to chair Change Control Board and various workgroup meetings as necessary.
  • Prepare structured communication, execute organization wide communications as appropriate.
  • Able to coordinate and participate in scheduled downtimes and other events during nights and weekends.
  • Able to lead Epic Analysts and System Team members through Epic Upgrades and Updates
  • Responsible for updating HourByHour document for Epic Upgrades and Updates.
  • Able to lead Epic analysts through multiple practice Data Migrations during Epic upgrades.
  • Tracking update and patch levels for each production and nonproduction environment and servers.
Qualifications and Experience
  • Ability to communicate effectively with all levels of staff and management.
  • Proven record of excellent leadership, communications, and organization skills.
  • A demonstrated ability to understand, analyze and solve problems in a complex multi system environment.
  • A demonstrated ability to communicate clearly and to understand and solve the problems and information needs of others.
  • Demonstrate an understanding of the technical aspects of applications and integrated tools used to complete the business cycle.
  • Demonstrate proficiency in facilitating technical change management, negotiation, and scheduling with multiple groups to a common objective.
  • Demonstrate technical aptitude sufficient to learn Epic data structures and Data Courier interfaces.
  • Demonstrated ability to work with computer systems and personal computers.
  • Microsoft Office proficiency is required.
  • Requires planning, organizing, and working on multiple tasks at one time. Tolerates ambiguity in instructions and work situations.
Education/Certifications
  • Bachelor's Degree, preferably with major in Computer Science or Information Systems plus 3 (three) years industry related experience, OR associate's degree and 7 (seven) years related experience, OR more than ten (10) years related experience
  • Epic certification in Data Courier and Bridges required
Travel Requirements
  • Ability to travel to client sites as necessary. Typically, one week per month during build phases, and 2 weeks at a time during Go Lives.
Physical Requirements
  • Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, and pulling objects. Sitting most of the time, with walking and standing required only occasionally.
