The IT & Systems Project Manager is responsible for the end-to-end ownership of all technology systems across ArtHaus's corporate offices and property-level operations. This role oversees planning, implementation, integration, standardization, and ongoing maintenance of SaaS platforms, collaboration infrastructure, office technology, HR systems, and asset-level hardware.
This is a hands-on, execution-focused role for a systems owner who enjoys building reliable environments, shipping implementations, and creating scalable standards. This is not a helpdesk role.
Key Responsibilities
1. Systems Implementation & Delivery- Lead all IT and systems implementations across the ArtHaus portfolio, including:
- Property management systems (Yardi)
- AI communication platforms (EliseAI)
- Business intelligence, analytics, and AI tools
- Accounting systems (QuickBooks)
- HR SaaS platforms
- Telephony, Zoom Phone, and call routing systems
- Smart locks, access control, and surveillance systems
- Corporate and property-level office technology
- Own project plans, timelines, dependencies, risks, testing, and go-live execution
- Coordinate across accounting, HR, leasing, property management, leadership, and vendors
- Ensure systems are fully adopted and operational, not just implemented
- Design, standardize, and maintain effective office technology setups for:
- Corporate headquarters
- Regional offices
- On-site property management offices
- Own selection, rollout, and standards for:
- Printers, scanners, and multi-function devices
- Desk phones, soft phones, and communication hardware
- Conference room technology (Zoom Rooms, cameras, microphones)
- Wi-Fi and basic network coordination with ISPs and vendors
- Create standard office technology kits by office type to ensure consistency, reliability, and cost control
- Own the technology components of employee onboarding and offboarding, in partnership with HR and leadership
- Provision and decommission:
- Google Workspace accounts
- Box access
- SaaS system credentials (Yardi, EliseAI, HR systems, BI tools, etc.)
- Devices, phones, and system permissions
- Ensure onboarding is timely, secure, and standardized
- Ensure offboarding is clean, complete, and risk-controlled
- Oversee and maintain HR-related SaaS platforms, including:
- HRIS systems
- Payroll and benefits-adjacent tools (systems access only; policy remains with HR)
- Time tracking or workforce management tools
- Partner with HR to:
- Support system implementations and upgrades
- Maintain access controls and role-based permissions
- Ensure data integrity and system reliability
- Serve as technical system owner, not HR policy owner
- Maintain a cohesive systems architecture across:

- Maintain a cohesive systems architecture across:
- HR and corporate systems
- Collaboration platforms
- BI and analytics tools
- Ensure clean, reliable data flow between:
- Yardi
- EliseAI
- HR SaaS platforms
- Accounting and reporting systems
- Eliminate redundant tools and enforce clear system ownership and purpose
- Own and maintain ArtHaus's core collaboration stack, including:
- Google Workspace (email, Drive, calendars, permissions)
- Box (file storage, access control, folder standards)
- Zoom and related communication tools
- Establish standards for:
- Folder structures
- Access governance
- Shared drives and permissions
- Support scalability and security across all collaboration tools
- Serve as system owner for all IT platforms, SaaS tools, and office technology post-implementation
- Manage:
- User access and role-based permissions
- Vendor relationships and SLAs
- Hardware lifecycle (deployment, replacement, decommissioning)
- Incident response and root-cause resolution
- Move the organization toward proactive maintenance and reliability
- Own rollout and maintenance of on-site property technology, including:
- Smart locks and access control systems
- Surveillance and camera systems
- Leasing office and back-office hardware
- Coordinate installs, upgrades, and replacements with property teams
- Ensure technology supports leasing velocity, operations, and resident experience
- Create and maintain:
- System documentation and architecture diagrams
- IT, onboarding, and office setup SOPs
- Implementation and rollout playbooks
- Support onboarding and training for new systems
- Ensure institutional knowledge is documented, repeatable, and scalable
- Own baseline IT security practices across:
- SaaS platforms
- Collaboration tools
- Office hardware
- Asset-level technology
- Manage access controls, vendor security reviews, and data integrity practices
- Identify system risks and recommend mitigation strategies

Required Qualifications
- 5+ years of experience in:
- IT systems implementation
- Systems or technical project management
- Multi-system SaaS and hardware environments
- Proven experience managing end-to-end system rollouts
- Strong understanding of integrations, permissions, and data dependencies
- Excellent organizational and stakeholder management skills
- Comfortable operating in a fast-moving, accountability-driven environment
Preferred Qualifications
- Experience in real estate, property management, or multi-site operations
- Hands-on experience with Yardi, EliseAI, HRIS platforms
- Experience supporting onboarding/offboarding workflows
- Familiarity with BI tools (Power BI, Tableau, Looker, or custom dashboards)
- Experience working with vendors, MSPs, or systems integrators
Compensation and Benefits
Pay range: $95K-$110K
