Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to our team. This role is responsible for managing day-to-day administrative tasks, coordinating office operations, and ensuring efficient communication across the organization. The ideal candidate will be proactive, resourceful, and capable of handling multiple priorities with professionalism and discretion. A key responsibility of this role includes arranging travel logistics and managing housing accommodations for employees, visitors, and company events.

Location: 737 E 1180 S, American Fork, UT On-site)

Schedule: Monday - Friday; 9 AM - 6 PM

Salary: $50,000 - $60,000/annually

Key Responsibilities

  • Provide administrative support to leadership and staff, including scheduling, calendar management, and meeting coordination.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Answer and direct phone calls, emails, and inquiries in a professional and timely manner.
  • Maintain accurate records, files, and databases with a high level of confidentiality.
  • Coordinate all travel arrangements, including booking flights, ground transportation, and accommodations.
  • Manage housing accommodations for visiting employees, contractors, and guests, ensuring smooth check-in, check-out, and comfort during their stay.
  • Process travel reimbursements and expense reports in a timely manner.
  • Coordinate daily lunch for all employees enrolled in the lunch program.
  • Assist with onboarding new employees, including preparing materials and scheduling training sessions.
  • Manage office supplies, equipment, and vendor relationships.
  • Support special projects and other duties as assigned to ensure smooth operations.
  • Coordinate monthly and quarterly employee engagement activities.

Qualifications

Required

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • 2+ years of administrative experience, preferably in a professional office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Demonstrated ability to manage multiple priorities and deadlines.
  • Professional demeanor and customer-service orientation.
