Abuv the Par seeking a high-performing Executive Assistant, responsible for providing high-level administrative support to the three Business Owners in a fast-paced environment, requiring the ability to manage competing priorities and deliver high performance. This role requires a highly proactive, resourceful, growth-minded, and solution-oriented individual who can anticipate needs, take initiative, and follow through with exceptional attention to detail.

Key responsibilities include managing the owners' demanding schedules, coordinating meetings and travel, handling sensitive and confidential information, and assisting with personal matters as needed. The ideal candidate is a self-starter with strong follow-up skills, ensuring seamless support for the Owners' day-to-day operations.

Key Responsibilities:

  • Strategic Calendar & Schedule Management – Own complex scheduling across three business owners, proactively prioritizing tasks and adjusting calendars daily to maximize efficiency.
  • Email & Communication Management – Oversee inboxes, draft and manage email correspondence, and act as a professional point of contact with internal and external stakeholders.
  • Task Prioritization & Workflow Support – Anticipate needs, delegate where appropriate, and ensure the owners remain focused on revenue-generating activities.
  • Operational Support – Support the partners in organizing workflows, keeping the team aligned, and bringing a proactive, solution-oriented mindset to day-to-day operations.
  • Meeting Preparation & Follow-up – Prepare agendas and materials, capture key takeaways during leadership meetings, and ensure follow-up actions are completed.
  • Travel Coordination – Arrange business and occasional personal travel, including itineraries, logistics, and schedule integration.
  • Vendor & Partner Coordination – Manage relationships with vendors, partners, and contractors to ensure smooth operations.
  • Presentation & Event Support – Assist with event planning and occasional presentation needs, while respecting the owners' preference to limit hands-on involvement in deck prep.
  • Personal Support – Manage select personal tasks such as scheduling personal appointments, coordinating household vendors, arranging personal travel, purchasing gifts, and supporting family calendar needs.
  • Expense Tracking & Reimbursement Submissions – Maintain accurate records of expenses, process reimbursements, and assist with budget-related tasks.
  • Project and Operational Support (as time allows) - Assist with project coordination within the business to aid in operational efficiencies and success.

  • Project Coordination: Coordinates small to medium internal projects, ensuring key milestones and deliverables are met. Comfortable following up with multiple stakeholders to keep initiatives on track.
  • Calendar & Workflow Mastery: Experience proactively managing complex calendars, coordinating cross-functional meetings, blocking work time, and preventing conflicts. Able to streamline processes and improve workflows to protect executives' time.
  • Tech Savvy: Highly proficient with productivity tools (Google Workspace, Microsoft 365, Slack, Asana/ClickUp, Notion). Comfortable learning new tools used in a marketing/ecommerce environment (Shopify dashboards, analytics portals, email platforms, CRM).
  • Additional Language Fluency (Bonus): Fluency in Bengali is a plus and can support clearer communication with the partners.

Salary:

  • $75,000 plus potential incentive compensation

Job Type: Full-time

Pay: $70, $80,000.00 per year
