Job Summary
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy Medical Primary Care and Aesthetics office environment. This pivotal role involves coordinating administrative functions, managing office staff, and ensuring smooth communication across departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient workplace. As the backbone of our office, you will facilitate everything from scheduling and vendor management to human resources and bookkeeping, ensuring that our team operates seamlessly and professionally.

Responsibilities

  • Manage day-to-day office operations, including front desk activities, multi-line phone systems, and calendar management for clinical and administrative staff.
  • Supervise administrative staff, providing training, guidance, and support to foster a high-performing team environment.
  • Coordinate event planning for meetings, company functions, and community outreach initiatives to promote engagement and teamwork.
  • Oversee vendor relationships, negotiate contracts, and ensure timely delivery of supplies and services essential to office functionality.
  • Handle human resources tasks such as onboarding new employees, maintaining personnel files, and supporting payroll processes using on the clock and ADP or similar accounting software.
  • Maintain accurate records, manage staffing processes, and perform regular filing to ensure compliance and organization.
  • Support medical or specialized office staff duties as needed, including scheduling patient appointments or managing confidential information with discretion.

Qualifications

  • Proven experience in office management or administrative roles with strong supervisory experience.
  • Excellent communication skills with the ability to handle phone etiquette professionally across multi-line systems.
  • Strong organizational skills with expertise in schedule management, filing systems, and calendar coordination.
  • Experience in event planning, vendor management, and human resources functions is highly desirable.
  • Knowledge of medical office management or similar specialized environments is a plus.
  • Demonstrated ability to lead teams effectively while managing multiple priorities in a fast-paced setting. Job Type: Full-time

Pay: $ $25.00 per hour

Expected hours: 37 per week
