Milton Ridge is a historic, full-service wedding venue located in Clarksburg, Maryland. We host weddings and private events year-round and are known for our hands-on planning process, experienced on-site team, and thoughtful, well-executed events.
We are seeking a reliable and detail-oriented Assistant Event Coordinator to support our Director of Events throughout the planning process and on event days. This role is ideal for someone who enjoys being part of meaningful celebrations, takes pride in creating a great experience for others, and is excited to grow within the events and hospitality industry.
This position functions as a true right hand to the Director of Events and plays an important role in both planning and execution.
Position Overview:
The Assistant Event Coordinator supports weddings and events from early planning through event day execution. Responsibilities include assisting with planning meetings, tastings, rehearsals, venue tours, and on-site coordination. On event days, this role is actively involved in hands-on coordination, including managing décor setup and breakdown, working directly with clients and vendors, and helping oversee timelines to ensure the day runs smoothly from start to finish. This is a hands-on, client-facing role that requires strong organization, clear communication, and a calm presence during busy event days.
This role supports events from the first venue tour through the final moments of the reception, helping ensure each celebration is thoughtfully planned and smoothly executed.
Previous experience in events or hospitality is helpful, but we are just as excited to meet someone who is dependable, eager to learn, and enjoys being part of meaningful celebrations.
This position includes thorough, hands-on training and ongoing support from our management team. Training will continue until the Assistant Event Coordinator is confident and prepared to take on responsibilities independently. Once trained, this role allows for a high level of independence while continuing to collaborate closely with the Director of Events. This is a trusted position that does not involve constant supervision, but does require strong communication, accountability, and follow-through.
As training is completed, this role will gradually take ownership of select responsibilities, including independently leading venue tours, tastings, and ceremony rehearsals, while continuing to collaborate closely with the Director of Events.
Key Responsibilities:
Event Planning and Coordination:
- Support planning meetings alongside the Director of Events
- Independently lead tastings and ceremony rehearsals once fully trained and prepared
- Help prepare and maintain event documents, timelines, and logistical details
- Coordinate with internal teams and outside vendors to ensure clear communication and smooth execution
- Maintain clear and accurate notes from client communications and planning conversations, and share those details directly with the Director of Events for final review and incorporation into event documents
Event Day Execution:
- Assist with ceremony and reception setup, décor placement, and breakdown
- Serve as a point of contact for clients, wedding party members, and vendors on event days
- Support timeline execution and help manage the overall flow of events
- Collaborate closely with the in-house catering team and venue staff to support service flow, setup, and overall event execution
- Assist with tracking and completing required event records, including alcohol usage and other post-event documentation
- Step in to help resolve issues professionally and efficiently as they arise
Venue Tours and Client Experience:
- Lead venue tours for prospective couples after completing training
- Prepare custom quotes and provide a welcoming, professional tour experience
- Support the events team in creating a positive, consistent, and thoughtful client experience

Schedule and Hours:
- Minimum of 30 paid hours per week year-round, including during the slow season
- During peak wedding season, hours will increase significantly and may exceed 40 hours in some weeks
- Weekend availability is required
- Typical availability is Wednesday through Sunday
- Monday and Tuesday availability may be required with advance notice if events are scheduled
- Evening availability is required for rehearsals, tours, and events
- Weekly schedules vary based on booked events and are provided in advance
No two weeks look exactly the same, and this role requires flexibility, good judgment, and the ability to adjust priorities as event needs evolve.
Compensation:
- Starting at $22 per hour
- Hourly position with additional commission opportunities tied to booked events from venue tours
- Occasional client tips may be received but are never guaranteed
Additional details regarding commission structure will be shared during the interview process.
Qualifications and Skills:
- Strong organizational skills and attention to detail
- Excellent communication skills with a warm, professional demeanor
- Comfortable executing detailed plans and timelines accurately while maintaining a high standard of professionalism
- Ability to manage multiple moving parts while staying calm and focused in a fast-paced environment
- Comfortable working directly with couples, vendors, and team members
- Strong verbal and written English communication skills required
- Positive, team-oriented attitude and willingness to step in where support is needed
- Interest in learning, growing, and building confidence in event coordination
- Comfortable using basic digital tools such as email, shared calendars, spreadsheets, and event planning platforms
Physical Requirements:
- Ability to work long hours and remain on your feet throughout the day
- Comfortable navigating stairs and working throughout the property
- Ability to lift up to 25 pounds when needed
- Ability to work both indoors and outdoors in varying weather conditions
Additional Requirements:
- Must be punctual and arrive on time for all scheduled shifts, meetings, rehearsals, tours, and events. Timeliness is essential to this role and late arrival is not optional.
