About the Role:

Riot Fest is seeking a highly organized, proactive, and resourceful Administrative and Operations Coordinator to support executive scheduling, internal coordination, and day-to-day administrative operations. This role partners closely with leadership and plays a key part in keeping communication, documents, and workflows running smoothly across the organization. It's a strong opportunity for candidates with executive assistant, operations support, or high-level administrative experience who enjoy being a trusted point of coordination.

Key Responsibilities:

  • Provide administrative and scheduling support to leadership, managing calendars, follow-ups, and daily workflow
  • Prepare and maintain accurate documents, files, and internal tracking systems
  • Assist with internal communication by gathering updates, preparing summaries, and coordinating next steps.
  • Create and maintain simple organizational tools, including shared documents, forms, and spreadsheets
  • Support office operations such as supplies, mail handling, vendor and customer communication, and light logistics tasks
  • Assist with recurring administrative processes, documentation needs, and routine updates
  • Basic bookkeeping tasks, including organizing expenses, receipts, and key financial data to support internal reporting.
  • Assist with occasional travel bookings, logistics coordination, and follow-up with customers or stakeholders.
  • Prepare, review, and organize contracts, insurance documents, invoices, and other vendor related paperwork.
  • Handle sensitive information with professionalism and discretion

Ideal Candidate Profile:

  • 3+ years of experience in executive assistance, administrative coordination, operations support, or a related role
  • Strong attention to detail with the ability to manage multiple priorities independently
  • Excellent communication, time management, and organizational skills
  • Discretion, sound judgment, and comfort working with confidential information
  • Proficiency in Google Workspace, Microsoft Excel, spreadsheets, and standard office tools
  • Proactive, reliable, and comfortable anticipating needs rather than reacting to them
  • Ability to work independently and meet deadlines in a fast-paced environment
  • Passion for music and festivals is a plus
