HOW YOU WILL MAKE AN IMPACT:
The Executive Assistant provides high-level administrative support to key Executive Leaders in IT, HR, Operations and Finance. This role requires exceptional organization, communication, and professionalism when interacting with internal teams, external partners, and the Board of Directors. While primarily remote, this position requires regular on-site presence at our Tacoma and SeaTac offices as well as attendance at meetings throughout the greater Puget Sound area.

  • Reports directly to the Senior Executive Assistant.
  • Prepares and facilitates communication and correspondence on behalf of the CFO, CTO, and CHRO for Board of Directors meetings and other executive-level engagements.
  • Manage complex, high-volume calendars for multiple leaders, including prioritizing meetings, resolving conflicts, and anticipating scheduling needs.
  • Maintain confidentiality and handle sensitive communication appropriately.
  • Conduct basic research and compile information for executive use.
  • Manage small projects independently and support larger cross-functional initiatives.
  • Coordinates meetings with internal staff and external stakeholders, including scheduling, agenda preparation, and logistics.
  • Drafts and prepares professional correspondence for the Board of Directors and other audiences; records, distributes, and maintains meeting minutes.
  • Attend meetings as requested to take minutes, track action items, and follow up with responsible parties.
  • Coordinates inter department task forces or committees.
  • Coordinates travel arrangements upon request.
  • Organizes and maintains both electronic and hard copy filing systems.
  • Arranges and ensures successful technical setup for conference calls, virtual meetings, and audiovisual needs.
  • Greet and support visitors during on-site meetings; prepare meeting spaces and ensures all materials and technology are in place.
  • Prepare outgoing mail and other forms of correspondence.
  • Reconciles monthly credit card statements for the executive team and designated direct reports.
  • Collaborate with the Finance Department to ensure accurate expense coding and adherence to budget guidelines.
  • Maintains positive, professional communication with team members and partners.
  • Participates in ongoing evaluation of job duties with supervisor; responsibilities may be adjusted as needed.
  • Supports financial planning by assisting with forecasting, preparing annual budgets, tracking expenditures, analyzing variances, and recommending corrective actions.
  • Accepts and incorporates feedback professionally from peers, supervisors, and directors.
  • Drafts letters, reports, and other written materials as needed.
  • Maintains respectful, collaborative relationships with clients, colleagues, agency staff, and community partners.
  • Supports team members and serves as a liaison to clients regarding changes in scope of work, timelines, or budgets.

HOW YOU WILL BE A GREAT FIT:

  • High School Diploma and 5+ years of administrative or similar support experience, including at least 2 years supporting a senior executive, OR
  • Bachelor's Degree and 3+ years of administrative or similar support experience, including at least 2 years supporting a senior executive.
  • Intermediate computer proficiency required.
  • Must be proficient with the Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and standard email platforms.
