Intro
We are seeking a dedicated and integrity-driven Human Resources Manager to join our team at a leading cleaning services company known for reliability, professionalism, and ethical excellence. This role is ideal for an HR leader who thrives in a people-focused environment, values transparency, and is passionate about building a trustworthy, motivated workforce that delivers exceptional service every day. Some local travel may be required to visit job sites, attend meetings, or conduct training sessions at various locations.
Primary ResponsibilitiesRecruiting & Onboarding
- Coordinate full-cycle recruitment and manage applicant tracking.
- Facilitate all aspects of onboarding, including documentation and orientation.
- Enter new hires into Jobber, Slack, ADP, and other relevant systems promptly.
- Adjust hiring timelines proactively to ensure adequate staffing during holidays and peak seasons.
- Conduct 30-day new-hire check-ins and document feedback.
- Determine and plan staffing needs based on company size, growth, and attrition.
- Manage all offboarding processes, including resignations, terminations, and retirements.
- Conduct exit interviews and ensure proper documentation.
- Travel to off-site locations as needed for interviews, onboarding, or employee meetings.
Records Management & Compliance
- Maintain accurate and confidential employee files.
- Ensure compliance with labor laws, payroll regulations, and company policies.
- Review and update the employee handbook and policies as laws and organizational needs evolve.
- Prepare required reports for government agencies and internal documentation.
Benefits & Leave Management
- Administer employee benefits programs and communicate eligibility.
- Support benefits enrollment and respond to employee inquiries.
- Manage time-off requests while ensuring team coverage and operational continuity.
- Review health insurance plans annually to ensure cost-effective, reliable offerings.
Employee Relations & Performance Support
- Serve as a point of contact for employee concerns and inquiries.
- Conduct meetings related to policy violations and performance issues.
- Document and administer disciplinary actions in accordance with policies.
- Support performance review processes and coordinate training needs.
- Schedule yearly performance reviews and prepare pay raise recommendations for ownership.
- Mediate workplace conflicts and support resolution between employees and supervisors.
- Meet monthly with team leads (in-person or virtual) and send notes to ownership.
- Conduct quarterly in-person meetings with cleaning technicians at different locations, which may require travel.
Training & Development
- Identify training needs and coordinate development opportunities.
- Create or support employee development plans aligned with job requirements and career growth.
- Maintain documentation of completed training and required certifications.
- Visit multiple sites when needed to deliver training or evaluate training practices.
Succession Planning
- Identify high-potential employees for leadership roles.
- Support the development of internal talent pipelines.
- Create and maintain annual succession plans for key positions.
HR Metrics & Analytics
- Track and analyze KPIs including turnover, hiring trends, time-to-fill, absenteeism, and performance data.
- Use insights to recommend improvements to hiring, retention, and engagement strategies.
- Provide regular HR performance reports to ownership.
Workplace Safety & Injury Claims
- Oversee safety training and ensure regulatory compliance.
- Ensure cleaning staff are trained in safe equipment use and procedures.
- Monitor safety compliance and provide corrective coaching as needed.
- Travel to job sites to assess safety practices and follow up on workplace incidents when necessary.
- Document injuries and manage claims through resolution, including return-to-work planning.
Time Management & Administrative Support
- Prioritize tasks effectively to meet deadlines across all HR functions.
- Encourage time-conscious, efficient work habits company-wide.
- Answer phones promptly and professionally.
- Assist with scheduling cleaning jobs and coordinating coverage, especially during urgent needs.
Key Performance Expectations
- Smooth, timely hiring and onboarding with accurate system updates.
- Professional, well-documented exit processes.
- Discreet and policy-aligned handling of employee concerns and violations.
- Annual performance reviews scheduled and completed on time with proactive pay recommendations.
- Accurate staffing plans reflecting company needs, growth, and turnover.
- HR metrics tracked consistently with actionable insights provided to ownership.
- Effective training and development initiatives that support performance and retention.
- Positive conflict resolution that fosters a respectful workplace culture.
- Up-to-date succession plans supporting leadership continuity.
- Strong communication with new hires, team leads, and cleaning staff.
- Careful management of time-off requests, ensuring team leaders are not off together.
- Efficient time management with minimal wasted effort.
- Safe work practices enforced company-wide with timely injury reporting and claims follow-up.
- Professional handling of incoming calls and scheduling needs.
- Travel is completed as required, with consistent presence across job sites to support employees and leadership.
Job Type: Full-time
Pay: $48, $62,000.00 per year
