Overview
This position will work primarily, though not exclusively, with the Alterman receivable's function providing invoicing and billing support.
Essential Functions

  • Processes and prepares customer invoices: 60%
  • Receives billing/invoice worksheets from Project Managers to be reviewed for accuracy.
  • Verifies worksheet details to the contract/PO/work order details from Owner/GC.
  • Prepares invoice in Spectrum/accounting software and emails to customer.
  • Prepares Facility invoicing that will be entered into Spectrum / accounting software and then entered in the customer's online billing platform.
  • Assists Operations Accounting Coordinator: 5%
  • Assists with billing reports for Divisional Directors and PMs.
  • Assists with Accounts Receivable (AR) aging reports for the AR Collections Associate.
  • Assists with collections as requested.
  • Processes invoices and statements: 20%
  • Provides weekly invoices prepared to Operations Coordinator for posting.
  • Analyzes billing requests to process and produce invoices.
  • Prepares monthly statements and submits them to customers.
  • Provides customer service: 10%
  • Responds to billing inquires by Divisional Directors, and PMs, and customers.
  • Researches and responds to routine customer billing and billing statement inquiries.
  • Performs other duties as required. 5%

Education And Experience

  • High school diploma or general education degree (GED) preferred.
  • One to three years related experience and/or training preferred.

Skills/Abilities

  • Language Skills-Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Mathematical Skills-Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
  • Reasoning Ability-Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a basic variety of technical instructions in mathematical or diagram form and deal with basic abstract and concrete variables.
  • Computer Skills-To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software. Prior experience with accounting software is preferred.
  • Interpersonal Skills – Customer service skills required as well as the ability to work well in a team environment.

  • Office environment.
  • Moderate noise level.

Physical Demands

  • While performing the duties of this Job, the employee is regularly required to sit and use a computer; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. Specific vision abilities required by this job include close vision.
