The Documentation Systems Coordinator will work under the supervision of the Director of IT/QA. This position plays a critical role in ensuring the effective use of Therap and related documentation systems, supporting compliance, data integrity, and operational efficiency across Bios offices. The DSC will assist leadership in delivering high-quality services for the people we support and serve as the primary liaison between Operations, IT, and Therap.
*Qualifications:*
•Bachelor’s degree preferred (Information Systems, Health Informatics, Behavioral Health, or related field) or equivalent experience.
•2–4+ years administering or coordinating EHR/HCBS documentation systems; prior Therap experience strongly preferred.
•Strong working knowledge of Microsoft 365, including SharePoint, Teams, OneDrive, Planner, and role-based access concepts; experience supporting operational use of Microsoft 365–based systems required.
•Strong technical aptitude and ability to configure systems and interpret logs.
•Understanding of HCBS documentation, MAR/eMAR workflows, and compliance requirements.
•Excellent written and verbal communication skills.
•Ability to train and mentor staff at multiple levels.
•Strong organizational skills and ability to function in a fast-paced environment.
•Ability to maintain confidentiality and discretion with sensitive information.
•Ability to collaborate and work well as part of a team.
•Ability to work independently while maintaining accountability, documentation, and communication with leadership and cross-functional partners.
•Power BI experience a plus, with emphasis on interpreting reports, validating data, identifying trends, and supporting operational and compliance review (report development not required).
•This position is primarily remote, with occasional in-person travel to Bios offices and meetings as needed.
•Ability to travel periodically for training, system implementations, audits, or operational support.
*Key Responsibilities:*
*Therap System Administration & Access Management*
•Process and fulfill external system access requests for Case Managers, ISCs, Specialists, Professionals, Guardians, and other authorized parties.
•Serve as the Therap expert for the organization; configure modules, maintain workflows, resolve operational issues, and support system-related change management communications.
•Manage and regularly review Therap roles and privileges, including Super Roles and position-based access, to ensure appropriate access and compliance with internal policies.
•Pull historical documentation for offices when persons supported are discharged and records are no longer accessible to local users.
•Coordinate configuration changes within Therap, including workflow adjustments and permission updates, with consideration for operational and compliance impacts.
*Governance, Data Integrity & Compliance*
•Establish and maintain organizational standards for Therap usage, documentation workflows, and role-based access to ensure consistency across offices.
•Ensure data integrity through regular audits, validation routines, and review of documentation activity within Therap.
•Review trends specific to Therap data and collaborate with the QA Coordinator on documentation and compliance trend analysis.
•Provide support to the QA Coordinator on compliance reporting, data interpretation, and identification of systemic issues and improvement opportunities.
•Support audit readiness by assisting with Therap-related documentation requests, access reviews, and historical record retrieval as needed.
*Training, Adoption & Knowledge Resources*
•Develop and maintain a network of Therap champions within each office to provide first-line support locally and reduce centralized support load.
•Identify new or underutilized Therap features; determine training or adoption needs and coordinate communication and rollout efforts.
•Train mid-level managers on effective and compliant use of Therap and related reporting tools as needed.
•Create user-friendly guides, training videos, and internal resources for DSPs and managers when Therap-provided materials are insufficient (e.g., custom ISP Program templates, policy-specific documentation).
*Vendor, Operations & Cross-Functional Coordination*
•Serve as the primary liaison with Therap for system escalations, feature requests, updates, and ongoing vendor communication.
•Serve as the primary liaison between Operations and the internal IT department for Therap-related and operational system-dependent initiatives.
•Serve as the primary liaison between Bios and contracted pharmacies for documentation, system access, and coordination needs related to Therap.
•Maintain oversight of Therap modules in use across the organization and recommend optimizations to improve efficiency, compliance, and user experience.
