Intake Specialist

Position Summary

We are looking for a full-time Intake Specialist with 1-2 years of experience working at a Personal Injury law firm to join our growing teamOur office is located right at the intersection of Highland and Rosecrans in Manhattan Beach, with a beautiful view of the beach right from our windows. The Strand and the sand are just a two-minute walk away and offer a great way to spend your lunch break 

Essential Duties and Responsibilities:

As an Intake Specialist at our Firm, your responsibilities will include (but may not be limited to):

• Report to the Chief Operating Officer
• Field calls from prospective clients with professionalism and empathy
• Coordinate client sign-ups and intake processes (drafting retainers, following up with potential clients over phone, text or email, answering questions/concerns, closing the deal)
• Open new cases in our Case Management system; ensure case moves smoothly through the firm after signing
• Cultivate a sales-oriented approach to retain clients
• Serve as new clients' first touchpoint with the firm
• Maintain detailed documentation and records accurately
• Be proactive - keep an eye on our intake processes, and point out where you see room for improvement
• Manage refer-out and refer-in cases

Knowledge, Skills and Abilities

• Strong sales spirit and customer service mindset
• Bilingual proficiency in English and Spanish
• Excellent communication skills, both verbal and written
• Ability to demonstrate empathy in person and over the phone
• Detail-oriented with exceptional organizational skills
• Professionalism and discretion in handling confidential information
• Willingness to learn and adapt to new systems and processes
• Ability to work collaboratively

Education & Experience

• Intake Skills: 1-2 years (Preferred, but not required)
• Customer Service: 1-2 years (Required)
• Spanish (Required)
