Operations / Retail Coordinator

Location: Winter Garden, FL (On-site)

Reports to: Director of Operations

Hours: 20-30 hours per week

Overview

The Operations / Retail Coordinator plays a critical role in supporting day-to-day operations, keeping inventory, shipping and administrative functions running smoothly, and serving as the communication bridge between HQ and our out-of-state retail stores. This is an execution-focused role for someone who thrives in organization, follow-through and clear communication, ensuring initiatives are completed accurately and on schedule.

Key Responsibilities

Operations Support

  • Execute operations projects end-to-end – ensuring tasks are completed on time, with accuracy, and proactively communicating progress and roadblocks
  • Coordinate receiving, tracking and organizing inventory across warehouse, office and retail locations
  • Manage and prepare product shipments for suppliers/vendors, creative teams, press, influencer and VIP requests
  • Organize and maintain the office environment – storage systems, supply organization, cleanliness standards and workspace readiness
  • Monitor and place orders for office supplies and operational materials
  • Coordinate inbound/outbound freight pickups, deliveries and scheduling with carriers
  • Support shipping claims, lost packages research and returns-related requests
  • Assist with vendor research, quotes and light procurement tasks
  • Maintain operations documentation and checklists, updating processes when needed

Retail Coordination

  • Serve as the point of contact for two retail stores – communicating weekly priorities, goals and projects
  • Distribute inventory shipment details and ensure products are received, processed and merchandised correctly
  • Oversee retail schedules – store staffing calendar, shift confirmations and time-off requests
  • Track and communicate weekly store goals, sell-through insights and key performance updates
  • Coordinate retail feedback to HQ teams – maintenance needs, merchandising requests, product sell-thrus, customer insights
  • Ensure operational consistency in stores – standards, cleanliness, merchandising implementation and back-stock organization
  • Support store-level troubleshooting and escalate issues where needed
  • Administration
  • Prepare weekly status reports on operations and retail follow-ups
  • Manage small-to-mid-sized recurring tasks with consistency and rigor
  • Handle logistics requests from executives and assist with internal communications
  • Support cross-department projects as needed

Required Skills & Traits

  • Extremely organized with strong attention to detail
  • Proven ability to follow through on assigned tasks without reminders
  • Clear communicator – written and verbal – with strong ownership mindset
  • Comfortable coordinating across multiple locations and stakeholders
  • Hands-on and willing to roll up sleeves for execution
  • Ability to prioritize tasks, manage time and maintain structure in fast-changing environments
  • Proficiency with Google Workspace, Shopify or similar platforms preferred

Experience

  • 2–4 years of experience in operations, retail coordination or administrative roles
  • Experience in retail, fashion or consumer goods strongly preferred
  • Logistics or inventory experience a plus
